Koniag Professional Services, LLC a Koniag Government Services company, is seeking an Administrative Support Manager (Jr Project Manager) with a Secret security clearance to support KPS and our government customer in Arlington, VA.

Administrative Support Manager:

  • Bachelor’s degree in business administration, public administration, management, or related field.
  • At least 8 years of experience managing others and performing duties like those outlined in section 5.3. Strong organizational and prioritization skills.
  • Demonstrated experience managing complex, multi stakeholder, cross functional projects.
  • Proven ability to deliver leadership ready communications, briefings, and weekly executive updates.
  • Strong facilitation skills for working groups, stakeholder meetings, and senior level engagements. Experience with ticket management systems.
  • Experience with the Federal Government is preferred. Must be proficient in Microsoft Office suite.

Administrative Support Junior Project Manager (1 Position):

Administrative Operations Oversight:

  • Oversees day-to-day administrative functions, ensuring consistent execution of office procedures.
  • Assigns, prioritizes, and rebalances workload across administrative staff.
  • Prioritize, assign, track, and close tickets accurately.
  • Monitor backlog and aging tickets in real time; adjust workloads among admins as needed. Escalate urgent or sensitive issues promptly.

Quality Assurance & Process Compliance:

  • Overseeing operational initiatives, events, and ensures team training.
  • Ensures administrative documentation, correspondence, and workflow standards are met.
  • Reviews correspondence and documentation for completeness, accuracy, and compliance.
  • Guides staff on administrative best practices and process improvements.

Meeting & Event Oversight:

  • Oversees administrative support for leadership and executive meetings.
  • Ensures action item tracking, meeting materials, and logistical execution are completed accurately.
  • Monitors quality and timeliness of meeting preparation across administrative staff.

Facilities & Space Management:

  • Ensures compliance with security protocols.
  • Provides direction and oversight for facility related tasks, service requests, and space management activities.
  • Coordinates resource allocation for shared spaces and work areas.
  • Ensures alignment between facility operations, safety requirements, and program mission needs.
  • Manages ticket submissions to building and facilities staff, maintains an active log of pending requests and projects, and provides regular updates on facility, space, and move activities to ensure prompt resolution of tasks.
  • Directs staff on workspace reconfiguration, room scheduling, and facility support tasks.

Asset Management:

  • Reviews and validates work assignments, ensuring asset tracking, disposal, and inventory processes meet compliance and audit standards.

Executive & Stakeholder Interaction:

  • Prepares and ensures exemplary administrative assistance for high-level engagements and external communications.
  • Ensures the administrative team meets professionalism and customer service expectations.
  • Track action items and tasks to ensure timely completion and accountability.
  • Deliver after-action reports, lessons learned, and recommendations for ongoing improvement.

Clearance Requirement:

  • Secret Security Clearance
