Job Description

Are you highly organized, detail-oriented, and someone who enjoys bringing order to information and processes?

The Human Resources department is looking for an Administrative Support Assistant to provide administrative and operational support, with a primary focus on records management, archiving, document control, and file organization.

In this role, you will support paper and electronic filing projects, SharePoint cleanup, and document retention activities to ensure information is accurate, accessible, and maintained in accordance with records management requirements. You will also provide general administrative support to the HR Operations team and assist with reception coverage as required

This posting is for 1 temporary full-time position up to 9 months

Key Responsibilities:

  • Organize, sort, scan, archive, and maintain paper and electronic records
  • Review files for accuracy, completeness, duplication, and appropriate classification
  • Support records retention, off-site storage, and disposal activities in accordance with corporate records management requirements
  • Maintain organized filing systems to ensure records can be easily located and retrieved
  • Assist with organizing and restructuring SharePoint sites, folders, and document libraries
  • Review and update file naming conventions, metadata, and folder structures
  • Identify records that may be redundant, outdated, or ready for archiving, seeking guidance as required
  • Provide administrative support to the HR Operations and administrative teams, including data entry, document production, meeting preparation, and records tracking
  • Provide reception coverage and respond to routine inquiries by phone, email, and in person
  • Direct visitors and inquiries to the appropriate staff member and receive and distribute mail, courier packages, and department deliveries

Qualifications and Skills:

  • High school diploma
  • Administrative Assistant certificate, records management coursework, or related administrative training is considered an asset
  • Minimum of three years of related administrative support experience, preferably involving records management, filing systems, or document control
  • Experience organizing and maintaining paper and electronic records
  • Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, Teams, and SharePoint
  • Strong organizational skills with excellent attention to detail and accuracy
  • Ability to follow records retention and document management processes and procedures
  • Strong written and verbal communication skills
  • Ability to work independently, exercise sound judgment, and manage multiple priorities
  • Excellent customer service and interpersonal skills
  • Ability to handle confidential and sensitive information with discretion
  • Ability to occasionally lift and move file boxes and archived records
