
This position manages all incoming calls for their modality and performs all appointment bookings, scheduling details, order placements for Diagnostic Imaging studies which are then coordinated to ensure the smooth operation of the department in accordance with the policies and procedures of the hospital. Handles departmental communications and liaises with many client types (patient, physician, and healthcare providers). Ensures that all bookings are processed efficiently and managed with the utmost confidentiality, accuracy and comprehensiveness. Provides excellent customer service, demonstrating patience, kindness and caring in an environment with multiple demands.
QUALIFICATIONS
• 2-year post-secondary diploma in office administration health services from an accredited school
• Medical terminology certificate with proven knowledge of radiology terms
• 1-year experience providing support in a healthcare environment, with knowledge of OHIP, electronic registration, order placement and patient scheduling
• Demonstrated commitment to the values of Service, Responsible Stewardship, Community Responsiveness and Respect
• Intermediate skill level in MSWord and medical spelling/terminology
• Accurate keyboarding skills of 35 wpm
• Clerical testing may be required as part of the selection process
• Expert knowledge of hospital patient processing and scheduling systems (Dovetale/EPIC, Radiant, ICMS, Oceans)
• Ability to communicate effectively and tactfully, both in person and by telephone
• Excellent organizational, interpersonal, analytical
• Ability to perform multiple tasks while providing excellent customer service
• Ability to mentor/train other administrative support staff in department
RESPONSIBILITIES
• Coordinates patient scheduling and order placement for Diagnostic Imaging studies through the use of several computer applications (Dovetale/EPIC, Radiant, ICMS, Oceans)
• Handles all telephone enquiries promptly, efficiently and courteously
• Verifies and updates patient information, validates OHIP cards and fields customer service inquiries by telephone
• Handles departmental communication, faxes, triaging requisitions for completeness and telephone and faxing physicians if incomplete
• Processes requisitions, urgent orders, re-naming electronic fax request forms on computer drive
• Sorts, proof-reads all requisitions to ensure that required clinical information is complete, and appropriate approval signatures are provided
• Participates in the orientation and training of new staff
• Ensures that all patient records are processed efficiently and managed with the utmost confidentiality, accuracy and comprehensiveness, as per Hospital and Departmental policy
• Performs reminder calls for their modality
• Performs other duties as assigned by Manager
