
Provides administrative support to the technicians, doctors and day-to-day operations of the Motility Lab. All patient related details and lab activities are coordinated to ensure the smooth operation of the unit and adherence to the policies and procedures of the hospital and the Department of Nursing.
QUALIFICATIONS:
-Minimum one year, up to 2 years’ experience providing administrative support in a clinical hospital setting
-Post-secondary diploma/certificate in medical office administration or equivalent combination of education and experience
-Medical terminology certificate
-Computer literate with basic level proficiency in both IBM and MacIntosh computer systems applying MSWord, MSExcel, Dovetale
- Minimum typing speed of 45 words per minute
- Clerical testing may be required as part of the selection process
- Ability to communicate effectively and tactfully, both in person and by telephone
- Maintain excellent interpersonal relationships while handling multiple tasks, frequent interruptions and stressful situations
- Superior oral and written communication skills with demonstrated grammatical aptitude, good spelling and punctuation
- Good organizational skills, with ability to set own priorities and work with minimal supervision
RESPONSIBILTIES:
-Coordinates bookings and new patient referrals from specialists and family physicians and other hospital departments as appropriate i.e. Endoscopy, Out Patient and Inpatient Units
-Registers all patients prior to testing and mails information and confirmation of tests to all patients, with follow-up phone calls where appropriate
-Transcribes various GI Motility reports
-Processes test data results into report form then forwards to lab director for final interpretation. The results are faxed/mailed to referring specialist/physician
-Utilizes appropriate software programs to produce correspondence, administrative reports, statistical data, analytical charts, forms and tables
-Meets daily deadlines for processing all tests in a timely and accurate manner while meeting all other deadlines
-Ensures all supplies required by the lab are adequately stocked and re-ordered in a timely manner
-Provides support in typing routine correspondence, sorts/distribute mail, faxes and e-mails, and coordinates meetings
-Assists with other unit activities as delegated by the Nurse Manager
-Participates in the orientation of new staff members
