
This position is responsible for providing administrative support (including accounting tasks) for the Manager/Professional Practice Leader of the Audiology and Retail Audiology Services. Requiring interactions, resolving issues and responding to inquiries with patients, and the scheduling of ENT/Residency program patients for the Audiology service (ENG). Services provided by the department of Audiology are coordinated to ensure effective liaison with patients, physician offices, community agencies and other hospital departments. This position provides coverage to the departments and programs within the Director's Portfolio when necessary.
QUALIFICATIONS
• Minimum Grade 12 diploma or equivalent with a 2-year diploma in medical and/or office administration
• Medical terminology certificate
• 1-year experience working in or supporting a therapeutics department in a hospital setting (Audiology, Occupational Therapy, Physiotherapy, Social Work, Speech-Language Pathology) and an inpatient clinical program
• Intermediate skill level in a variety of computer applications and equipment: MSWord, Excel, Access, PowerPoint
• Accurate keyboarding skills of 55wpm, advanced level with excellent transcription skills
• Clerical testing may be required as part of the selection process
• Experience with electronic patient scheduling, staff scheduling and registration
• Ability to communicate effectively and tactfully, both in person and by telephone
• Maintain excellent interpersonal relationships while handling multiple tasks, conflicting priorities and frequent interruptions
• Good organizational and problem-solving skills, with ability to set own priorities and work with minimal supervision
• Basic accounting skills
• Working knowledge of relevant legislation and collective agreements (ONA, OPSEU and CUPE)
• Managing competing priorities and meeting deadlines
• Ability to shift priorities and prioritize co-ordination as needed based on the different area that requires support while meeting deadlines
RESPONSIBILITIES
• Distributes transcribed reports to referring physicians, school boards, WSIB, and other agencies as requested, and organizes charts according to standard format
• Provides administrative support by handling reception duties, incoming mail, phone calls, faxes, e-mails and typing and filing all in an efficient and professional manner
• Processes telephone and written patient referrals, obtaining necessary intake information and updating waiting lists accordingly
• Prepares daily patient charts, check-in lists, and lists to patient accounts regarding expected patient payments
• Registers patients upon arrival, verifying all pertinent patient details and following all standards prescribed by admission, discharge and transfer
• Coordinates scheduling of patient appointments, initiating appropriate reminders and following-up on cancelled and missed appointments
• Maintains accurate files of clinical records, ensuring discharged patient health records are transferred to Health Records as per established guidelines and reports are forwarded to appropriate parties
• Compiles monthly departmental summaries of clinical activity according to patient care workload standards, prepares quarterly and year-end statistical summaries, retail audiology stats, including sale totals and ad hoc reports as requested
• Assists with supply and inventory maintenance, including creating po's and arranging for payment of department and program expenses
• Submits and monitors staff expense reimbursement, arranges meeting room reservations and audiovisual requests, and prepares meeting schedules and audiology appointment schedule
• Prepares payroll records and delivers to Payroll Services, including obtaining and distributing departmental pay stubs
• Submits invoices to Basware for processing, processes payments for hearing aids and other related hearing supplies
• Reconciles payments from third party payers, submits billings in Dovetale (EPIC), and submits funding requests to third party payers
