Primary Duties and Responsibilities

Under the direction of the Doheny Vice Chair, the Administrative Supervisor will oversee academic administrative staff, provide financial management and grant administration, and provide administrative support for all academic activities for the Doheny Division including the fellowship and medical student programs. Support all full-time physicians including the Division Chiefs and Directors. Act as liaison between the Doheny Division and other department divisions and UCLA. Plan and organize Doheny Division meetings, journal clubs, seminars, conferences, wet labs, and workshops. Maintain a comfortable and efficient environment for faculty, students, and research personnel. Assist with quality control tasks helping the Doheny Vice Chair and other division leaders. Assist the Doheny Division Leaders with hiring and disciplinary actions related to administrative, research and grant staff.


Salary Range: $70,900 - $145,200 Annually


Job Qualifications

Required:

  • Minimum of 3 years experiencing supervising staff
  • Ability to organize and manage an expanding, changing and busy office.
  • Skill in working independently with minimal direction and following through in a timely manner.
  • Ability to set and follow through on priorities and complete work in a timely and efficient manner when there are changes in workload, pressures, and deadlines.
  • Understand basic ophthalmic terminology and be familiar with signs and symptoms of various ophthalmic problems to answer patient related questions and triage calls when urgent evaluation is required.
  • Interpersonal skills to maintain cooperative working relationships with physicians, staff, co-workers, patients, and others.
  • Flexibility in adapting to new assignments.
  • Assist office personnel, when needed to complete a difficult or extensive task.
  • Ability to manage and direct office personnel.
  • Skill operating a personal computer and ability to use MS Word, Excel, PowerPoint, and Care Connect
  • Working knowledge of medical terminology
  • Good telephone demeanor Strong organizational skills
  • English skills sufficient to write correspondences independently Skill in working independently and following through on work with minimal directions and in a timely manner.
  • Ability to prioritize work with conflicting demands

Preferred:

  • B.A. or B.S.
  • Familiarity with grant preparations and IRB submissions
