PRIMARY DUTIES & RESPONSIBILITIES

Serve as a welcoming first point of contact for community members by answering calls, responding to emails, and assisting with questions about parks, open space and recreation services. Work with a dynamic team of administrative professionals to support daily operations by assisting citizens reserve park shelters; routing park maintenance requests to appropriate staff to help ensure issues in parks and open space areas are addressed quickly; and processing accounts payable.

This role provides a great opportunity to gain practical experience, develop professional skills, and contribute to services that benefit the Aurora community.

The hiring range for this role is $23.84 - $29.80/hour.

Salary to becommensuratewith experience.

The anticipated hours are 30 hours per week, in a term-limited position with a tentative start date of May 2026 and an end date of August 31, 2026.

This is classified as VHNE (Variable Hour Non-Benefit Employee), where the selected candidate will work less than 29 hours per week. This position does not provide medical benefits. This position earns sick leavein accordance withthe Healthy Families and Workplace Act.

The selected applicant(s) will undergo the following conditions:

  • Background Check (if over 18)

Provides general administrative support and performs complex clerical duties.

PRIMARY DUTIES & RESPONSIBILITIES

  • Provides support for meetings; coordinate agendas, meeting back-up, transcribe minutes
  • Use Outlook calendar to schedule appointments, and monitor and plan special projects
  • Types and processes a variety of materials including correspondence, memoranda, reports and other documents related to the assigned function
  • Prepares requisitions, monitors, and processes purchasing, related accounting functions and accounts payable
  • Responds to general inquiries and interprets policy and procedures
  • Maintains, modifies, and updates database information for specialized departmental functions for City tree inventories and work orders
  • Assigns contractor forestry fees based on linear footage calculations.
  • Collects revenues and fees and processes them through point of sale system
  • Serves as front line customer service specialist to include answering a multi-line telephone and greeting visitors
  • Attends Boards & Commissions meetings, occasionally off-site, to include agendas, minutes and maintains official records
  • Processes park shelter reservations and payments
  • Responds to and assists the public both over the phone and in person with city-owned tree inquires and requests
  • Investigates complex issues regarding city trees and parks & open space properties and creates work orders for field crews using GIS mapping and workflow systems.
  • Composes, proofreads, and formats a variety of documents that include letters, memoranda, and reports
  • Performs purchasing duties and tracks spending plan for the department
  • Manages office supplies as well as repair and maintenance for office equipment
  • Directs internal and external customers to appropriate party
  • Maintain trusting relationships with suppliers, customers and employees
  • Performs additional duties as assigned

MINIMUM QUALIFICATIONS & WORKING CONDITIONS

An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.

Education:

  • High school diploma or equivalent (GED) required.

Experience:

  • At least two (2) years' experience in administrative support role
  • Prior experience handling office responsibilities, experience in customer service, or related field

Knowledge:

  • Knowledge of business English, spelling, and math
  • General office equipment, including personal computers with related software applications
  • MS Office Suite

Skills:

  • Strong interpersonal, problem solving, analytical and managerial skills.
  • Skill in the use of computers including spreadsheet design, database programming and word processing software applications
  • Excellent organizational and time management skills
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars
  • Excellent written and verbal communication skills
  • Organized and detailed oriented

  • Establish and maintain effective working relationships with employees, citizens, and elected officials.
  • Communicate effectively both verbally and in writing
  • Handle sensitive situations with tact and diplomacy

WORKING CONDITIONS

Essential Personnel:

When a local announcement of emergency or disaster is declared by the city, all City of Aurora employees may be required to work as essential personnel.

Physical Demands:

  • Light physical work lifting at least 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds with or without assistance.
  • Frequent lifting or carrying of objects weighing up to 10 pounds.
  • Frequent hand/eye coordination to operate computer keyboard and office equipment
  • Clear vision to read and interpret reports, computer data and other written material
  • Frequent speech communication and hearing to maintain communication with employees and citizens

Work Environment:

  • Works primarily in clean, comfortable environment

Equipment Used:

  • Frequently uses standard office equipment including computer, calculator, multi-line telephones, copy/fax machines and postal equipment.
  • This position may require the incumbent to use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment

The city of Aurora will implement furlough days (unpaid days off) for most employees in 2026. The scheduled furlough dates are January 16, April 10, July 2, and December 24.
