Description

The Department of Criminal Justice Training (DOCJT) is seeking an energetic and dynamic professional to serve as an Administrative Specialist Senior in the West Field Section at the Madisonville Field Academy in Madisonville, Kentucky.

This position provides high-level administrative support to the Training Operations Division, internal staff, and client law enforcement agencies. The successful candidate will demonstrate strong organizational, analytical, and planning skills, along with dependability, attention to detail, the ability to manage multiple priorities, and a commitment to meeting deadlines. The Administrative Specialist Senior collaborates with internal teams, law enforcement clients, and agency leadership to support compliance with state and agency regulations and procedures.

Responsibilities and Duties:

  • Serves as a liaison between supervisor and client agency heads, collaborating with multiple sections throughout the agency in planning, organizing, and managing information resources in support of the agency mission, training goals, and objectives.
  • Identifying issues preventing registration and provides guidance to clients.
  • Enters corrected and updated documentation across multiple agency training database systems.
  • Reviews, processes and verifies all documentation related to training course areas are accurate for permanent records.
  • Communicates with clients to resolve issues and provide detailed information for problem resolution.
  • Audits course folders for completion and discrepancies and documents such.
  • Ensures documentation is compliant with agency policy.
  • Interprets agency and department policies for assigned section(s) and clients.
  • Performs other duties as required.

Preferred Knowledge, Skills and Abilities:

  • Strong customer service and recordkeeping skills.
  • Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and accuracy when reviewing records and documentation.
  • Ability to organize work, manage competing priorities, and meet established deadlines.
  • Strong analytical, problem-solving, and decision-making skills.
  • Ability to work independently while contributing effectively as part of a team.
  • Experience working with databases, electronic records systems, or training-management systems.

Additional and Supplemental Information:

  • Maintain a valid driver’s license.
  • Frequently communicate in person or by other means of technology.
  • Spend a major portion of time using a computer.
  • Travel required (state vehicle provided).

Minimum Requirements

EDUCATION: Graduate of a college or university with a bachelor's degree.

EXPERIENCE, TRAINING, OR SKILLS: Three years of professional, administrative, or business experience.

Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.

Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Working Conditions

Incumbents working in this job title primarily perform duties in an office setting.

Probationary Period

This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
