This is a highly responsible position in the Justice and Public Safety Cabinet. The employee is expected to perform all duties to the best of their ability, act in a responsible manner at all times, demonstrate leadership qualities, and treat all staff, youth, and persons with respect. Responsibilities include, but are not limited to, the following:

  • Provides high-level professional administrative support to internal staff and leadership related to an agency's business operations for the Department of Juvenile Justice (DJJ) Open Records. Performs duties in the oversight of intricate processes such as activities involving mandated regulations or procedures, comprehensive research, or collaboration with internal and external stakeholders.
  • Coordinates agency information and evidence records utilized in the agency’s records systems. Analyzes information to ensure the data integrity and correct use follow the agency’s mission, goals, objectives, public records law, and internal agency policies.
  • Examines completed requests including working with various organizational units to collect appropriate records, redacting files, requesting dissemination, and directing the public in proper filing procedures. Ensures compliance to open records laws. Provides supervision over all system documentation submitted for all Open Records requests.
  • Advises central agency records staff in accordance with agency policies and public law to help provide modified records for dissemination to outside entities and agencies. Redacts files and requests dissemination.
  • Serves as agency resource concerning all organizing digital evidence within the systems in support of the agency’s policies and procedures. Applies KY Open Records statute and regulations to requests received.
  • Develops a resource plan to be coordinated with the agency information technology branch to seek changes and modifications within the systems. Performs research related to open records laws, regulations and specific requests for records. Advises agency managers of recommendations for process improvement.

Minimum Requirements

EDUCATION: Graduate of a college or university with a bachelor's degree.

EXPERIENCE, TRAINING, OR SKILLS: Three years of professional, administrative, or business experience.

Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.

Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Working Conditions

Incumbents working in this job title primarily perform duties in an office setting.

Probationary Period

This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
