Under direct supervision of Clinic Administrative Management, performs a variety of duties for the multi-program clinic, including direct contact with clinic clientele and staff. Independently performs a variety of advanced duties involved in the operation of the Immunizations, Medical Records and Preventive Health programs. Uses knowledge of operation and program processing of information to assist all programs in maintaining a quality and comprehensive medical record. Provides administrative support to clinics in other counties in operational area. Performs other related duties and special projects as assigned, including required travel if requested, and responds as directed during emergencies which may occur outside normal work hours, and travel if requested.

  • Perform all Administrative duties required to provide Preventive Health and Immunization service to eligible clients. Including completes intake and out-take of patient's data, verification of all insurance from different DPH state websites and enters all demographic information into EHR system. Financially screens all clients appropriately, collects payments if applicable and prints cash drawer daily in accordance with DPH policies and clinic procedures. Maintains correct change fund balance.
  • Ensures official DPH forms are scanned into the correct patients EHR Images. Interviews clients/patient per clinic guidelines, Scans Insurance Cards, ID's into EHR system. Provides quality customer service n a culturally competent manner in face-to-face and/or telephone encounters and maintains client confidentiality.
  • Serves as front desk backup, greeting all clients, checking in clients on TEAMS marking clients as arrived in EHR, answering multiple phone line, transferring calls to appropriate departments or taking messages. - Submit SCEIS, PCAS, leave requests, and required monthly reports in a timely manner. Performs other related duties and special projects as assigned, including required travel if requested, and responds as directed during emergencies which may occur outside normal work hours, and travel if requested.

Examples of duties

State Minimum Requirements: A high school diploma. Related clerical experience may be substituted for a high school diploma.

Agency Additional Requirements: A high school diploma and two (2) years of clerical office experience or an associate degree in Secretarial Science or a related field.

Any equivalent combination of education and/or experience that demonstrates the required knowledge, skills, and abilities may be considered in meeting the minimum qualifications, subject to approval by the DPH Chief Human Resources Officer, or their delegate.

Qualifications

Experience with clinic flow and providing customer service in a medical office environment preferred. Bilingual English/Spanish preferred.
