Planning & Development Services is looking for an organized, customer-focused Administrative Specialist II to support our Building Official and Building Division. In this fast-paced role, you'll provide a variety of administrative and office support while serving as a key point of contact for customers, employees, and community partners. If you enjoy keeping operations running smoothly, building positive relationships, and delivering exceptional customer service, we'd love to hear from you.
To be considered, you'll need a high school diploma ( or equivalent), 2+ years of clerical, secretarial, and computer experience, and the ability to obtain a valid Florida driver's license within 30 days of hire. While not required, we'd love to see college coursework in business, experience in a building department or construction environment, and familiarity with systems like Microsoft Office, Accela, Workday, SharePoint, Smartsheet, and eGenda. Last, but not least, a Florida Notary certification is preferred (or can be obtained within 3 months of hire — we can help with this!). Starting pay is $22.94 per hour Apply today!
In this role, you will...
Provide administrative support to the Building Official by managing calendars, coordinating meetings, preparing correspondence, and keeping daily priorities on track.
Coordinate projects, research information, and prepare reports, presentations, ordinances, resolutions, and other materials for leadership and County meetings.
Serve as a key point of contact for customers, staff, and other departments by answering questions, coordinating responses, and helping resolve customer concerns.
Support the eGenda process by preparing agenda items, assembling meeting materials, and maintaining official records and documentation.
Track division data, prepare reports, and assist leadership with research, special projects, and operational support.
Provide administrative support to advisory boards, including scheduling meetings, coordinating presentations, maintaining board records, and serving as recording secretary.
Assist with Building Division programs by providing backup support for flood damage prevention, damage assessment activities, contractor licensing boards, and contractor reporting.
Help support daily office operations, including mail distribution and assisting other division leadership as needed.
Work Hours:
Full-time, 40 hours per week.
Typical Schedule: Monday - Friday, 7:30 a.m. to 4:30 p.m. (no weekends!)

To be considered for this role, you must have the following:
High School Diploma or equivalent education and 2 to 5 years of clerical, secretarial, and computer experience.
Valid Florida driver's license within 30 days of hire.
The ideal candidate has the following knowledge, skills, and/or abilities:

College coursework in business from an accredited college or university.
1 ( or more) years of experience in a building department, construction, or a related field is preferred, but not required.
A Florida Notary certification; if you're not currently certified, this must be obtained within 3 months of hire. ( We can help with this!)
Strong organizational, communication, and customer service skills, with the ability to build positive relationships, manage competing priorities, and handle sensitive situations professionally.
Ability to research information, interpret policies and regulations, prepare reports and official documents, and use sound judgment when resolving issues.
Proficiency with Microsoft Office (Word, Excel, PowerPoint) and experience with business systems such as Accela, Workday, SharePoint, Smartsheet, and eGenda.
Subject to Passing Substance Screening: This position is subject to passing a pre-employment substance screening. An applicant who fails to pass a required drug screening test shall be disqualified from employment for a period of 5 years.
Physical Demands: Employees in this role must occasionally lift and/or move up to 20 lbs.
Starting Pay: $22.94/hr
