This is an in-person position

The Administrative Specialist will serve the needs of the Health and Nutrition teams.

Support manager and staff with tasks such as handling communication, scheduling meetings, maintaining and updating records, performing financial transactions, and providing general office support so the office runs efficiently.

Regular, reliable, and non-disruptive attendance is an essential job function, as is the ability to create and maintain collegial, harmonious working relationships with others.

Common responsibilities include, but not limited to:
• Acting as a first point of contact
• Answering phone calls, responding to emails, and directing enquiries to the right person
• Arranging access for, scheduling, and coordinating meetings
• Organizing files and updating digital records
• Entering data, preparing documents, and generating reports
• Processing requisitions, purchase orders, and receipts
• Making travel arrangements and processing travel reports
• Ordering office supplies and ensuring supplies are stocked and maintained
• Assisting with basic HR or onboarding tasks, such as paperwork and maintaining records


Qualifications:

Minimum Qualifications

  • The formal education equivalent of a high school diploma
  • At least two years experience in a related area

Preferred Qualifications

  • Experience or familiarity using Workday


Knowledge, Skills, and Abilities

  • Proficiency with office software, especially Microsoft Office programs
  • Strong data entry skills and confidence using databases and spreadsheets, especially Microsoft Excel
  • Ability to use workflow platforms such as Microsoft Loop, Outlook, and Teams
  • Strong written and oral communication skills
  • Confidence in communicating clearly and professionally with a wide range of people, including senior management, customers, and suppliers
  • Well-developed customer service skills
  • Ability to establish and maintain record keeping systems
  • Ability to operate standard office equipment
  • Highly organized with the ability to work on multiple tasks at a time
