Overall Function:
Assists Program Supervisors and the Director in maintaining regulatory compliance, using specialized knowledge of operations, regulations, and policy to monitor, inspect, and organize technical documents and complete responsibilities.
Essential Functions:
- Serves as the program’s initial contact with the public, clients, family members, etc., giving and receiving factual information about the program or services.
- Creates and edits those documents that are necessary for successfully completing assignments, primarily responsible for the overall accuracy of the document and initiation of related processes and procedures.
- Serves as a program/agency liaison responsible for explaining program/agency services and what is required to render services, and directs the individual or group to the appropriate resources(s), internal or external.
- Inspects submitted work products for completeness and accuracy, following up with relevant staff and/or supervisors, as necessary.
- Tracks and monitors completion of compliance-related tasks, issuing reminders to staff and/or supervisors, as needed.
- Orders and manages the distribution of supplies to all program sites.
- Completes purchase orders and ensures accuracy of cost-center allocation.
- Assists in ensuring fiscal integrity by tracking and monitoring actual monthly board expenses per consumer.
- Provides general administrative and office support, including filing, mailing, scanning, faxing, and copying for management.
- Prepares meeting, contract, and licensing materials, as directed.
- Coordinates between departments and operating units in resolving day-to-day administrative and operational problems.
- Other duties as required.
- Adheres to all policies, laws, regulations, and codes of ethics and confidentiality as outlined by federal and state laws, and agency policies and procedures.
Qualifications
- Must have a minimum of five years of experience or the equivalent combination of experience and training, as determined by the agency, or three years of experience as a Secretary 1.
- Must complete a minimum of 12 hours of training as required by the Office of Developmental Programs.
- Knowledge of general office procedures, including interpersonal skills and telephone interaction.
- Demonstrated proficiency on a typewriter and/or computer keyboard.
- Must successfully obtain Criminal History Clearance from the PA State Police, Child Abuse Clearance from the PA Department of Human Services, and FBI Fingerprint Clearances.
- Must not be excluded from participation in Medicare, Medicaid, or any other federal health care program.
- Ability to sit for long periods of time during the workday;
- Ability to operate a keyboard and a multiline telephone simultaneously, with a high degree of accuracy;
- Ability to occasionally assist, move, and/or transfer office supplies weighing up to 25 pounds.
