Summary

The Parks & Recreation Department within the City of Lansing is seeking an Administrative Specialist to showcase their exceptional skills and abilities to assist in coordinating, schedules, planning and issuing permits for special events utilizing department properties, facilities and personnel on behalf of the Department and for various community events. Responsibilities include but not limited to:

  • Coordinates, schedules, plans and issues permits for special events utilizing department properties, facilities and personnel.
  • Inputs electronic work orders to staff to ensure that special event set-ups and take-downs are performed properly.
  • Maintains electronic files and schedules on special event applications, leases, permits, licenses and other documentation.
  • Works extensively with the public taking applications, attending meetings and answering questions regarding facility usage.
  • Operates a City-wide range of computer programs including Microsoft programs (including Word, Excel and Outlook), as well as website development, Rectrac, and e-commerce programs such as City Works and Laserfiche.
  • Collects and issues receipts for funds received for rental of facilities and special events
  • Assists in budget preparation including making estimates regarding revenues.
  • Composes a wide range of reports, proposals, memos, letters and other documentation

Ideal candidates will possess:

  • High School Diploma or GED
  • AND (3) years of comprehensive office/secretarial or event experience which includes significant public contact and the use of Microsoft Word processing and Microsoft Excel spreadsheet computer software
  • OR an equivalent combination of training and experience may be considered
  • Special event planning experience preferred
  • Must possess and maintain a valid driver’s license

Special Requirement Includes:

This position requires that the applicant placed be able to be bonded under the terms of the City’s blanket bond. Therefore, applicants cannot have committed any dishonest acts, before or after placement in the position.
