What we are looking for:

ODF is looking for an Administrative Specialist 2 to provide administrative support for Northeast Oregon (NEO) District in department programs. These goals and associated duties include:

  • Performing, payroll, fiscal and fire billing and invoicing tasks.

  • Requires the ability to closely coordinate with other staff to provide guidance and support needed to meet their responsibility to respective departmental objectives, agency missions, and legal mandates.

  • Must be able to implement Federal, State, Department, and District policies, laws and procedures by interpreting and applying the information to various, and at times complex daily working situations.

  • This position may serve as the finance section chief on local/other NEO fires - responsible for technical and administrative functions required to establish, monitor, and prepare payment of fire suppression costs – this includes auditing Unit, District, EFC, and FEMA fire suppression costs.

Minimum Qualifications:

Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis; OR

An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis; OR

An equivalent combination of education and experience.

Note: Driver’s License Check - This position requires the operation of a state vehicle for the purpose of conducting official State business. If your license is from outside Oregon, you must submit at least a three-year court/DMV printout. If you have an Oregon driver’s license, a record check will be conducted on the top candidate to ensure a valid license and acceptable driving record.

  • Ability to prioritize effectively during rapidly shifting workloads, especially during fire season, while staying organized despite frequent interruptions.

  • Strong organizational skills are necessary to maintain accurate, accessible records, track deadlines, and preserve documentation needed for audits.

  • Adaptability and clear communication are key, as the work can be unpredictable and requires learning new systems quickly while communicating professionally with coworkers, leadership, incident personnel, and vendors.

Salary Determination:

Per the Pay Equity Law passed in 2017, a pay equity analysis for starting salary will be conducted to determine what pay step the successful candidate will be offered.
