Job Description

The Department of Parks & Recreation (DPR) is seeking an Administrative Services Specialist to provide a broad range of services to staff and the public. Services will be provided at a desk with a high volume of customer walk-in traffic and in a call center work environment via telephone, as well as performing traditional receptionist duties, data entry, and responding to internal customer requests through Help Desk software. This position will report directly to the Administrative Services Team Leader.

Specific duties include:

  • Entering large volumes of data into the automated registration and scheduling system (RecTrac);
  • Offering in-person and call center telephone assistance to citizens interested in classes, workshops, special events, camp offerings, programs and facility scheduling;
  • Assisting customers with fee and payment options, including processing fee reduction applications, payments, auto-debit payments for year-round programs and sending payment reminders;
  • Providing customers with alternative classes/camps for eligible applicants, including maintaining and managing program waitlist; and
  • Performing administrative tasks, including managing data and compiling specialized reports for staff, maintaining all files and records, mailing bills, and creating complex Excel spreadsheets.

  • Proven success working collaboratively in team environments; and/or
  • Proficiency in multi-tasking.

Minimums:
Education Completion of the requirements for graduation from a standard senior high school or vocational school, a GED certificate, or the equivalent; and
Experience: Some experience providing administrative support.

Substitution: Successful completion of college coursework from an accredited college or university may be substituted for the experience requirement.

Desirables: Preference may be given to candidates with experience in one or more of the following:

  • Working in a registration, reservation or call center environment;
  • Receptionist duties and working in a team environment;
  • Providing program support in a fast-paced work environment involving stringent deadlines;
  • Resolving client’s problems and documenting outcomes in writing; and
  • Using Computer information systems, proficiency with Microsoft Office Suite and/or graphic design.

Special Requirements:

EPI Assessment: To be considered for this position, you must achieve a passing score on the Employee Preferences Inventory (EPI) Assessment. Please note the following:

  • If you have not taken the EPI within the past year, you will receive an email with instructions and a deadline for completing the assessment.
  • If you have taken the EPI within the past year, your previous score will be used.
  • Scores are valid for one calendar year.
  • You cannot retake the assessment until one year has passed since your last attempt.
  • Failure to complete the EPI by the deadline provided to you in email will disqualify you from this recruitment process.

A pre-hire background check will be made on all candidates who are selected for employment, which may include the following: criminal record, driving record, education, professional licensure, and credit history. You may be required to sign a release authorizing the County to obtain your background information.

Additional Information:

Work Hours: Monday - Friday, varying between 8:00 a.m. and 7:00 p.m. Additional hours, including weekend shifts, will be required based on registration and program enrollment support. Some telework may be available, contingent upon supervisor approval and workload.
