Job Description

The Administrative Services Coordinator II works with the Director, Project HEAL (Health, Education, Advocacy and Law) and the Program Coordinator, Resource Finder to provide intake coordination and resource support for Project HEAL and the Resource Finder. This position coordinates phone, email, and online intakes; gathers and documents intake information; supports appropriate referrals and resource identification; maintains intake records and database information; conducts research on community resources and service providers; and assists with workflow improvements to support efficient and consistent program operations.

Responsibilities

1. Review voicemails and organize incoming phone and online intakes for Project HEAL and the Resource Finder.2. Conduct phone intakes and gather additional information as needed to facilitate appropriate referrals, resource identification, and intake review. 3. Review and respond to inquiries within the Project HEAL and Resource Finder email accounts. 4. Assist with intake training for Project HEAL trainees.5. Provide data entry in Apricot and maintain accurate documentation of intake activities. 6. Provide follow up information to callers at the direction of the Project HEAL Director and Staff Attorneys and respond to Resource Finder inquiries by compiling and sending tailored resource information.7. Organize and save supporting documentation in client files on the shared drive. 8. Conduct targeted research to identify appropriate community resources, services, and supports in response to Resource Finder and Project HEAL inquiries.9. Conduct ongoing research to identify new providers, programs, and services for inclusion in the Resource Finder database.10. Maintain and update the internal Resource Finder database by verifying provider contact information, eligibility criteria, service descriptions, and geographic service areas.11. Contact community organizations and service providers to verify information and obtain updated program details when appropriate.12. Identify recurring trends or gaps in Resource Finder inquiries and Project HEAL intakes and provide observations, data, and recommendations with supervisors to support continuous program improvement.13. Assist with the development and refinement of workflows, templates, and documentation to improve efficiency and consistency across intake and Resource Finder and Project HEAL operations.

Qualifications

EDUCATION:• High School Diploma or GED is required.

EXPERIENCE:

• Three years of progressively responsible administrative experience is required.• Administrative support or intake experience in academia or healthcare is preferred.

Minimum pay range

USD $45,059.66/Yr.

Maximum pay range

USD $75,603.63/Yr.
