Job Focus Area

The Louisiana Department of Education’s Division of Diverse Learners works to ensure students with disabilities have access to high-quality instruction, appropriate supports, and meaningful opportunities to achieve strong academic and postsecondary outcomes. The Division supports school systems across Louisiana by connecting effective instructional practices, specialized supports, technical assistance, and strong systems of implementation. We are seeking an Administrative Program Specialist to provide programmatic and operational support within the Division of Diverse Learners. This position plays an important role in advancing the Division’s work by supporting contracts and budgets, managing key administrative processes, coordinating communications and events, and providing direct support to the Executive Director. The ideal candidate is highly organized, detail-oriented, collaborative, and able to manage multiple priorities while maintaining strong communication and follow-through. This is an exciting opportunity for an individual who enjoys both programmatic and operational work and wants to contribute to statewide efforts that strengthen supports for students with disabilities and the educators and school systems that serve them.

Candidates with the following skills and competencies are encouraged to apply:

  • Experience supporting or managing education programs, contracts, grants, or initiatives, particularly those serving students with disabilities
  • Knowledge of the Individuals with Disabilities Education Act (IDEA)
  • Experience with budget development, fiscal management, purchasing, contracts, or other administrative processes
  • Strong project management and organizational skills, including the ability to manage multiple priorities, timelines, and deliverables
  • Experience developing clear, professional written communications for internal and external audiences
  • Strong interpersonal and communication skills and the ability to collaborate effectively with agency staff, school systems, vendors, and other stakeholders
  • Experience coordinating meetings, professional learning, conferences, or other events
  • Ability to work independently, exercise sound judgment, maintain attention to detail, and provide responsive support to executive leadership.
  • Accepting Direction: The ability to be open and willing to follow guidance or instructions.
  • Following Policies and Procedures: The ability to follow, reinforce, adapt, or develop policies and procedures to maintain compliance with federal and state legal requirements, State Civil Service rules, and organizational policies.

Examples of duties

Three years of experience in administrative services; OR

Six years of full-time work experience in any field; OR

A bachelor's degree.

EXPERIENCE SUBSTITUTION:

Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field.

Job Duties:

As an Administrative Program Specialist within the Division of Diverse Learners, you will help coordinate programs, resources, and operational activities that support students with disabilities and school systems across Louisiana. In this role, you will:

  • Manage and monitor assigned contracts, budgets, purchasing activities, invoices, and other fiscal or administrative processes.
  • Provide direct administrative and operational support to the Executive Director and Division leadership, including coordinating priorities, timelines, reports, and follow-up activities.
  • Coordinate meetings, professional learning opportunities, conferences, and other Division events, including scheduling, materials, logistics, communications, and follow-up.
  • Develop and distribute professional communications, newsletters, updates, presentations, and other resources for school systems and stakeholders.
  • Maintain organized records, trackers, documentation, and project timelines to ensure Division responsibilities and deliverables are completed accurately and on time.
  • Collaborate with internal LDOE teams, vendors, contractors, school systems, and external partners to support effective program implementation.
  • Respond to inquiries and provide information and technical assistance related to assigned programs and Division initiatives.
  • Assist Division leadership with additional administrative, fiscal, and programmatic responsibilities necessary to support efficient Division operations.

Position-Specific Details:

Appointment Type: Probational or Promotional. The person hired for this position is expected to regularly report to the Baton Rouge office. Current permanent classified state employees may be required to accept a probationary appointment, if selected.

Career Progression: This position does not participate in a Career Progression Group

Work Schedule: Workdays are Monday - Friday; work hours will be determined.

Compensation: The salary offered will be determined based on qualifications and experience.
