Job Description


Job Overview


We are looking for a proactive and dependable Administrative & Operations Coordinator to support daily operations at our Ecuador office. This role combines administrative oversight with hands-on responsibility for IT systems, facility readiness, and workforce monitoring, ensuring everything runs efficiently and without disruption.


Key Responsibilities


1. Facility & Power Management


  • Perform monthly maintenance of the office power generator, including oil changes and routine checks


  • Ensure generator readiness and reliability during outages


  • Review and maintain the power outage backup plan


2. IT & Workplace Setup


  • Verify proper use and setup of dual-screen (2nd monitor) workstations for all employees


  • Conduct and document regular internet speed tests


  • Report and escalate any technical or connectivity issues


3. Time & Productivity Oversight


  • Manage and monitor TimeClockWizard for attendance and activity tracking


  • Review employee screenshots and time logs to ensure compliance


  • Flag inconsistencies and report findings to management


4. Administrative & CRM Updates


  • Maintain employee records such as birthdays and work anniversaries in Zoho CRM


  • Support internal tracking, reporting, and operational organization


Work Setup


  • Requires routine physical checks and coordination across teams

Buscamos un Coordinador de Administración y Operaciones proactivo y confiable para apoyar las operaciones diarias en nuestra oficina en Ecuador. Este rol combina supervisión administrativa con responsabilidad directa en sistemas de TI, preparación de instalaciones y monitoreo de la fuerza laboral, asegurando que todo funcione de manera eficiente y sin interrupciones.


Responsabilidades Clave


1. Gestión de Instalaciones y Energía


  • Realizar mantenimiento mensual del generador de energía de la oficina, incluyendo cambios de aceite y revisiones rutinarias

  • Asegurar la disponibilidad y confiabilidad del generador durante apagones

  • Revisar y mantener actualizado el plan de respaldo ante cortes de energía


2. TI y Configuración del Lugar de Trabajo


  • Verificar el uso correcto y la configuración de estaciones de trabajo de doble pantalla (monitor secundario) para todos los empleados

  • Realizar y documentar pruebas regulares de velocidad de internet

  • Reportar y escalar cualquier problema técnico o de conectividad


3. Supervisión de Tiempo y Productividad


  • Gestionar y monitorear TimeClockWizard para seguimiento de asistencia y actividad

  • Revisar capturas de pantalla de empleados y registros de tiempo para asegurar cumplimiento

  • Señalar inconsistencias e informar hallazgos a la gerencia


4. Actualizaciones Administrativas y CRM


  • Mantener registros de empleados como cumpleaños y aniversarios laborales en Zoho CRM

  • Apoyar el seguimiento interno, reportes y organización operativa

Qualifications


  • Experience in administrative, operations, or IT support roles


  • Basic understanding of computer systems, internet performance, and troubleshooting


  • Familiarity with time-tracking or monitoring tools is a plus

  • Ability to work independently and follow structured processes
