$57,663 - $67,663The Administrative Operations Assistant (AOA) plays a key role in assisting the Disability Support Services (DSS) staff in accomplishing the Department's mission, ensuring equal access to all programs and services offered by the university to students with disabilities as they pursue their educational goals.
The Administrative Operations Assistant will be the first point of contact for individuals seeking DSS services and information. The AOA will oversee the department's daily workflow, coordinate office activities and operations, and provide support to the staff.

Responsibilities:

  • Provide a professional first point of contact for students and individuals seeking information, advice, and support from the DSS Department.
  • Participate in developing and monitoring grants and state budgets. Analyze financial constraints and timelines and prepare requests for contingency fund transfers.
  • Process expenditures and purchases for the department
  • Provide exceptional customer service for students, faculty, staff, and the public.
  • Ensure confidentiality of student information.
  • Assist in managing the main DSS email account by monitoring messages, keeping staff informed, and responding to urgent inquiries promptly.
  • Assist with data input and database management for the DSS.
  • Assist staff in the management and update of the DSS website.
  • Collect and compile information for annual and other reports.
  • Process contracts for contractual hires, including Graduate Assistants, Sign Language Interpreters, and Speakers for workshops.
  • Assist the Director with planning for annual workshops and Symposiums
  • Process assistive technology contracts and monitor contract renewals.
  • Assist the Director with budgeting and budget projections to meet students' needs and the department's overall funding requirements.
  • Responsible for preparing budget transactions, monitoring, and reconciling budget activity, and maintaining financial records.
  • Assist the Director with managing grants, including Tile III Grant
  • Assist DSS staff with programs, conferences, and other ADA-related events for the community.
  • Must be able to work independently as well as being a part of a team, be able to address sensitive issues, and de-escalate issues if needed.
  • Perform other related duties as assigned

Minimum Qualifications:

  • Ability to follow university policies and procedures.
  • Excellent organization and time management skills
  • Knowledge of current technologies and the Microsoft Office suite, including Excel spreadsheets and PowerPoint.
  • Ability to analyze problems, identify solutions, and take appropriate action to resolve problems using judgment and the decision-making process to de-escalate situations.
  • Willingness to learn new skills.

Preferred Qualifications:

  • Knowledge of disability laws and ADA/Section 504 & 508 compliance requirements at the postsecondary level.

  • Ability to work independently and as a part of the DSS team.

  • Working knowledge of the budget process.

  • Excellent outreach and presentation skills.

  • Experience in higher education.

Conditions of Employment:

  • Bachelor's degree required or 5 years of experience in higher education.
