Job Description

The objective is to provide the U.S. Department of Commerce’s Office of Security, Insider Risk, and Continuity with essential administrative support services to enable more efficient operations and assist OSIRC leadership and designated staff with administrative, coordination, tracking, reporting, and office support functions.

Background

The Office of Security, Insider Risk, and Continuity serves to mitigate risk to personnel, facilities, property, information, and assets through Department-wide security policies and multi-disciplined security programs. OSIRC develops procedures and delivers security services for the Office of the Secretary and other Department bureaus.

This role supports OSIRC leadership and designated staff through senior-level administrative support, coordination, records management, correspondence, tracking, reporting, and related office functions.

The Administrative Officer will provide onsite senior-level administrative support to OSIRC leadership and designated staff at the Department of Commerce Herbert C. Hoover Building in Washington, DC.

This position requires strong organizational, communication, customer service, and Microsoft Office skills. The Administrative Officer will assist with scheduling and tracking, correspondence, data calls, records and files, document preparation, and coordination across administrative areas such as procurement/acquisitions, financial management, human resources, property management, IT services coordination, and other office support needs.

This is an administrative support role. The selected candidate will assist with documents, tracking, coordination, and process support; the role does not independently own or approve Government procurement, finance, HR, or property management actions.

Responsibilities

  • Execute advanced proficiency word processing and data entry using Microsoft Office Suite, including extensive use of Excel, Outlook, Word, and PowerPoint.
  • Develop, implement, and/or assist with planning, direction, and execution of office duties, primarily involving senior-level administrative tasks and coordination of time and resources for management purposes.
  • Assist within the general areas of scheduling/tracking, procurement/acquisitions, financial management, human resources documents, records management, property management, and IT services coordination.
  • Prepare correspondence, memoranda, reports, and briefing materials.
  • Manage calendars, schedule and deconflict meetings, coordinate attendees, and support meeting preparation.
  • Assist with time and resource management tasks and help ensure compliance with internal and external reporting deadlines and requirements.
  • Develop, coordinate, prepare, and track internal and external data calls and requests.
  • Draft memoranda and document responses, and support high-level communications, including dissemination, coordination, and collection of reviews by key stakeholders.
  • Create, review, and provide administrative support for acquisition/procurement, financial management, and human resources documents, tracking systems, memoranda, reports, and briefing materials.
  • Establish and maintain records and files, including appropriate reductions or disposition in accordance with general records schedules.
  • Use OSIRC information technology systems and tools for data entry and/or data validation.
  • Demonstrate strong customer service skills and work effectively both independently and as part of a team.
  • Answer and screen walk-in inquiries, telephone calls, and electronic mail in a senior leadership and executive-level professional environment.
  • Communicate complex matters to personnel at multiple levels and build and maintain organizational relationships to support awareness, effective messaging, and service delivery.
  • As assigned, perform special studies or administrative reviews to identify opportunities to enhance OSIRC effectiveness and efficiency.
  • Protect sensitive information, personally identifiable information, and controlled unclassified information in accordance with applicable Government and contract requirements.
  • Perform other general office duties as assigned.

Qualifications

Required Experience:

  • Approximately 6 years of relevant experience in administrative support, office management, executive-level support, program support, or a related field.
  • Experience supporting administrative functions in a federal, Government contractor, or similarly structured professional environment.
  • Advanced proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
  • Strong written and verbal communication skills.
  • Strong organizational skills, attention to detail, and time management ability.
  • Experience with calendar management, meeting coordination, correspondence management, document tracking, and deadline management.
  • Ability to manage multiple priorities in a fast-paced office environment.
  • Customer-service focused and able to interact professionally with senior leaders, Government personnel, contractors, visitors, and other stakeholders.
  • Ability to work independently while also functioning effectively as part of a team.
  • Ability to learn and use Government information technology systems and administrative tracking tools.
  • Ability to handle sensitive information with discretion and maintain confidentiality.

Desired Experience:

  • Experience supporting senior leadership or executive-level offices.
  • Experience preparing, tracking, or coordinating internal and external data calls.
  • Experience supporting records management, property management, IT services coordination, or administrative reporting.
  • Experience assisting with procurement/acquisition, financial management, or human resources documentation in an administrative support capacity.
  • Experience supporting federal office operations at the Department of Commerce or another federal agency.

Education

Bachelor’s degree or equivalent experience.

  • Additional relevant experience may be considered in lieu of a bachelor’s degree.

Compensation

The compensation range for this position is $29.33 - $45.83 per hour. Compensation will be discussed in greater detail with candidates who advance in the interview process, allowing for a comprehensive evaluation of qualifications and alignment with role requirements.

Compensation Disclaimer:The salary range provided for this position represents a general guideline. Final compensation will be determined at the Company’s discretion based on a variety of factors, including but not limited to relevant experience, skills, education, internal equity, geographic location, and contract requirements. Not all candidates will be eligible for the upper end of the salary range.

Location and Work Hours

This position is 100% on-site and requires daily reporting to the following location:

Work Schedule: Standard business hours, Monday through Friday. Typically 8:00 a.m. – 4:30 p.m.

This role is not eligible for remote or telework arrangements. Candidates must reside within a reasonable commuting distance of the worksite and be able to reliably report on-site as required.

This position follows a standard 40-hour work week, Monday through Friday.

The candidate must currently reside within commutable distance to the work location.
