Reporting to the Associate Director Administration, theAdministrativeManageris responsible forplanning,developingand implementing business processesrelated to finance, human resources and operations, and student affairsto supportanAdministrative Service Centre(ASC)within the Faculty of Arts. Implements standards for unit service levels and provides managerial supportregardingthe ASC's goals andobjectivesImplements new initiatives that support the strategic direction of the ASC.Directly supervisesadministrative employees

Primary Responsibilities:

  • Advisesdepartments and departmental ChairsonFaculty and University policies and proceduresforfinance, human resources and operations, and student affairs

  • Manage a variety of financialtransactions, such as preparingandsubmittingoperating and other budgets for departments, approval and revision of financial transactions related to the operations of the units within the ASC(e.g. MMP, Pcard, invoice payments, honoraria,guest lecturer payments,etc.)

  • Manages various transactions in Workday related to payment processing, issuing of contracts, costing allocation approvals, fund approvals, etc.

  • Advisesthe department Chairsonresolvingbudgetary issues, such as over expenditures, journal transfers, etc.

  • Directly supervisea financial administratorMeets regularly with direct report.Plans schedules anddelegates and verifiesthe work ofthe finance team andevaluatesperformance.Setsobjectivesand deadlines.

  • Collaborates with the department Chairs/Directors to support the administrative and finance functions related to the hiring of Teaching Assistants, Course Lecturers, and other employee groups.

  • Engages regularly with other managers within the Centre to ensure that goals andobjectivesare aligned and that information and record-keeping is complete, consistent, and transparent to all.

  • Act as training resource for other managers across the designated ASC.


Other Qualifying Skills and/or Abilities
Strong financial and analytical skills with experience in budgeting, payroll, and accounting. Proven ability to apply financial policies, manage reporting and year-end processes, and support strategic budget planning. Demonstrated leadership in supervising administrative staff and overseeing workflow. Ability to provide cross-functional support for various staffing processes, including academic and unionized hires. Excellent organizational,communication, and problem-solving skills. Experience working in a university setting an asset. Bilingual English and French. Must be able to work on site at McGill downtown campus for 2.5 to 3 days per week. Likely to be able to work from home for up to 2.5 days per week subject to operational needs and supervisor approval.
