As the Administrative Executive, you will be responsible to provide administrative support for the South ASEAN Hub (Malaysia, Singapore, Brunei & Indonesia) focusing on areas of specialization - events & meeting management, Purchase Order processing, and any other administrative tasks assigned from time to time.

What you will do

  • Arrange GM’s calendar and meetings, assist in travels and transportation;

  • Handle correspondences and external engagements of the GM’s office

  • Review GM office reports and documentation. Managing GM Admin paperwork not limited to expense claims, top to top meetings

  • Provide logistical support to visits and meetings owned by the GM Office, e.g. Budget Reviews, Regional/Global Visitors, etc.

  • Maintain calendar of management team and provide support for management activities

  • Ad-hoc administrative tasks assigned by GM

  • Provide administrative support to General Manager

  • Support other functions for creating and managing PO’s

  • Organize and manage end to end external/internal events (festivals etc) across all functions

  • Provide logistical support to ensure smooth flow of events including training/company intercoms etc.

  • Arrange visitor’s parking for any events / meetings

  • Support People Manager’s on on-boarding process (laptop request, system access request, petrol card management)

  • Simplify work processes without compromising on compliance

  • Performs other duties as assigned

  • Complies with all policies and standards

Required Qualifications

  • Bachelor's Degree in any field

  • Minimum three years of experience in general administration

  • Excellent oral and written communication skills.

  • Proven organizational and problem solving skills.

  • Self-starter who can work well both independently and across multi-level stakeholder groups

  • Ability to work under pressure and adapt quickly to change in a fast paced environment

  • Proficient in Google suite of products (especially in Gmail, Calendar, Sheets, Docs & Slides)
