The Administrative & Document Support Specialist provides document production and administrative support for Weston’s Integrated Air Services (IAS) team. This role is responsible for preparing, formatting, reviewing, and organizing technical reports, proposals, and project documentation while ensuring accuracy and consistency. The successful candidate will play a key role in supporting project deadlines and maintaining high-quality deliverables for both internal teams and clients.

This position offers a growth path into technical report development and data quality review for candidates interested in learning the technical aspects of environmental reporting.

Location: Auburn, AL

Expected Outcomes:

  • Type and format reports, proposals, project instructions, and other project documentation.
  • Transcribe handwritten notes and information into professional documents.
  • Assist with document preparation and production.
  • Organize and maintain project files through filing, scanning, copying, and document management activities.
  • Support team communications and administrative processes.
  • Assist with general office and project support activities as needed.
  • Respond to changing priorities and occasional urgent requests to support project deadlines.
  • Demonstrate flexibility and ability to meet critical deadlines.
  • Perform miscellaneous administrative duties as assigned.

Knowledge, Skills & Abilities:

Required Qualifications

  • High school diploma or equivalent and 2-3 years of office, administrative, document production, or related experience.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple assignments and meet frequent deadlines.
  • Ability to work independently and collaboratively within a team environment.
  • Strong time management and prioritization skills.
  • Proficiency in Microsoft Word, including advanced document formatting and template usage.
  • Working knowledge of Microsoft Excel and Adobe Acrobat.
  • Ability to review information for accuracy and identify inconsistencies.
  • Commitment to producing high-quality work products.
  • Willingness to learn new technologies, including AI tools that support document production and quality review.
  • Ability to adapt to changing priorities and maintain a sense of urgency when required.

Preferred Qualifications

  • Associate's or Bachelor's degree may be substituted for a portion of the required experience.
  • Microsoft Office certifications.
  • Experience supporting proposals, technical reports, engineering documents, or environmental project documentation.
  • Familiarity with spreadsheet quality control and formula verification.
  • Basic graphic editing or document layout experience.
  • Experience in document production, records management, or administrative support within a professional services environment.
