Administrative Coordinator for Student Life

Position Summary

The Administrative Coordinator for Student Life is an essential, full-time professional position that provides high-level administrative, operational, and student-facing support to the Dean of Students and the Student Life staff. As the central coordinator for Student Life operations, this role ensures the continuity, effectiveness, and responsiveness of services that directly impact student engagement, retention, and success.

The Administrative Coordinator serves as a key representative of the Dean of Students, manages sensitive and confidential processes, and provides leadership opportunities through direct work with student groups and campus traditions.

All responsibilities are carried out in alignment with the mission of Lyon College and the values, policies, and procedures of the Student Life Office.

Essential Duties and Responsibilities

  • Executive Support to the Dean of Students Provide comprehensive administrative support, including scheduling, correspondence, document preparation, project coordination, and confidential record management. Serve as a trusted liaison between the Dean and students, faculty, staff, and external partners.
  • Operational Leadership for Student Life Oversee daily operations of the Student Life Office, ensuring efficient workflow, accurate documentation, and timely communication. Maintain continuity of services that cannot be delegated to general reception staff.
  • Student Engagement & Leadership Support Serve as a primary point of contact for students seeking assistance, information, or referrals. Provide leadership support to student groups, assist with organization development, and help facilitate student-led initiatives.
  • Homecoming Court Coordination Lead and manage all aspects of the campus Homecoming Court process, including applications, communication, voting logistics, event preparation, and collaboration with student organizations.
  • Supervision of Student Life Work-Study Students Hire, train, schedule, and supervise work-study students assigned to Student Life. Provide mentorship, ensure quality performance, and support student employee development.
  • Data, Marketing, and Web Coordination Coordinate student data tracking, marketing materials, and website updates as directed by Student Life staff. Ensure accuracy, timeliness, and alignment with institutional standards.
  • Clerical and Administrative Management Maintain all clerical areas of the office with exceptional care, including supply inventories, copy machines, mail distribution, conference room scheduling, financial records, and student documentation requirements.
  • Event and Program Support Assist with planning, logistics, communication, and implementation of Student Life programs, workshops, and campus events.
  • Policy and Procedure Alignment Ensure office practices follow Student Life and institutional policies. Maintain updated forms, manuals, and communication materials.
  • Campus Collaboration Work closely with Residence Life, Counseling, Campus Safety, Health Services, Chaplain's, Office and other departments to support student needs and advance Student Life initiatives.

Required Qualifications

  • Associate's degree required; bachelor's degree preferred.
  • Demonstrated experience in administrative support, customer service, or higher education.
  • Strong organizational, communication, and interpersonal skills.
  • Proficiency with Microsoft Office and comfort with student information systems.
  • Ability to manage multiple priorities with accuracy and professionalism.
  • Commitment to student success, inclusion, and the mission of Lyon College.

Preferred Qualifications

  • Experience working in Student Affairs or a related field.
  • Supervisory experience, especially with student employees.
  • Experience supporting student organizations or campus programming.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
  • Ability to take initiative, anticipate needs, and improve office processes.
