Location: 1 Jim Flaherty St., Whitby, ON
Assignment: Full-time, Salaried

The Position:
Reporting to the Director, Sport and Recreation, the Administrative Coordinator, Sport and Recreation will be responsible for the administration, planning, and supporting the delivery of innovative, inclusive programs that will create opportunities and increase participation in sport and recreation, ensuring all members of the community are able to develop their physical literacy both within Abilities Centre programs and with external partners.
What You’ll Do:
Program Registration
• You will work with the Senior Coordinators in the Sport and Recreation department to implement annual registered program strategies, including:
◦ Configuring ActiveNET registration for each program in the Sport and Recreation area, including evening and camp programs, and supporting families through the registration process
◦ Supporting the development and execution of communication plans with participating families
◦ Ensuring relevant participant documents are completed, and preparing operational procedures, participant checklists and related administrative resources, and
◦ Booking of appropriate program spaces
• You will work with the Senior Coordinators in the Sport and Recreation department to implement annual Field Trip and Physical Literacy Workshop strategies, including:
◦ Monitoring and responding to Field Trip and Physical Literacy Workshop inquires
◦ Scheduling and booking Field Trips and Physical Literacy Workshops
◦ Ensuring relevant documents are completed prior to the Field Trips and Physical Literacy Workshops, and preparing related administrative resources, and
◦ Booking of appropriate spaces for Field Trip and Physical Literacy Workshop delivery
• You will work with the Senior Coordinator, A.S.A.D Durham to implement annual program registration strategies, including:
◦ Responding to day-in-the-life inquires and student athlete Expressions of Interest
◦ Scheduling and booking day-in-the-life visits, information sessions, and tours
◦ Communicating with parents of student athletes on the status of their application
◦ Configuring ActiveNET registration for A.S.A.D Durham and supporting families through the registration process
◦ Supporting the development and execution of registration communication plans with participating families
◦ Ensuring relevant student documents are completed, and preparing operational procedures, student checklists and related administrative resources, and
◦ Booking of appropriate program spaces
Program Support
• You will work with Abilities Centre’s Marketing and Communication Department to develop Sport and Recreation program promotional materials, including updates and ensuring relevancy of website and social media content
• You will support the Senior Coordinators and the Research Department in implementing program evaluations to gather participant, parent, and teacher feedback, to determine areas of improvement and to ensure programs are meeting program objectives
• You will support the delivery of programming, as needed
• You will assist with other duties as reasonably assigned by the Director, Sport and Recreation
What You Bring:
Education and Knowledge.
• You have post-secondary education in Kinesiology, Sport, Physical Education, Therapeutic Recreation, or related field
• You have experience in program administration, delivery, and evaluation
• You have experience working with individuals with disabilities and/or initiatives/programs that focus on inclusion
• You have knowledge and understanding of the philosophy of Physical Literacy
• You are proficient in Microsoft 365 and have knowledge of ACTIVENet or similar recreation management software
Communication and Relationship Building.
• You have exceptional oral and written communication skills and are comfortable presenting to large group in a variety of settings with varied audiences
• You have effective planning, organizing, and time management skills to manage multiple demands.
• You are dedicated to a participant experience that exceeds expectations, and inspire confidence, resilience, and self-esteem in participants through respect, acceptance, and by focusing on strengths and achievements
• You have a positive attitude, interact well with clients, participants, and fellow employees, and foster an environment that values and encourages teamwork and empowerment
• You are self-motivated and results-oriented, and you demonstrate initiative and contribute to a work environment that values and encourages innovation
• You have good interpersonal and relationship-building skills, proven leadership skills, and can build rapport with people of diverse backgrounds
Administrative Requirements.
• It is required that you have a current, clear vulnerable sector check (V.S.C)
• It is required that you have a current, valid First Aid and C.P.R C / A.E.D.
• You have access to reliable transportation for travel, possess a valid driver’s license, and are flexible regarding work schedule.
