Full-time

Pay Range: $22 - $24

Non-exempt

Schedule: Monday - Friday, some weekends ~ 8am - 5pm

Summary of Role:

Administrative Coordinators are vital to the community’s success, assisting with Human Resources, Business Operations, Concierge and overall administrative facilitation for the community.

Duties and Responsibilities of the Position:

Manage the Concierge team and perform duties of the Concierge role for a portion of work hours (as defined by the Executive Director).

Partner with the Business Office Manager (typically through Exordium, a partner organization) to complete duties of the business office that need to happen in person.

Specifically:

o Bank Activity

o Resident interactions related to billing, monthly payment.

o Partnership on accounts receivable

o Long-term care

o Manage spend down

o Track non-recurring resident charges-reimbursables (e.g. guest meals, room trays, outings, etc.)

o Order Uniforms, shoes, swag, office supplies, business cards, service pins

o Make nametags for residents and team members

o Interview and orientation assistance for tasks needed onsite

o Paycheck delivery tracking and distribution

o Onsite Open Enrollment facilitation

o Ensure proper, current labor law posters are posted in community.

o Maintain OSHA log for team member injuries and/or reportable events.

• Work with the Executive Director and Marketing Department to ensure coordination of resident move-ins, move-outs, and day-to-day administration needs of the residents are met.
• Liaison with Business Operations, Human Resources, Talent Acquisition, and Payroll

departments from the Home Office.

• Maintain professional confidentiality.
• Perform other duties as specified by Executive Director and Home Office support teams.

Job Qualifications:

• Continuing Education: attend in-service educations within the community.
• Education: Minimum high school diploma; associate or bachelor’s degree in business,

accounting or related field preferred.

• Experience: Minimum 3 years’ bookkeeping, human resources, and/or office

Job Knowledge:

Typing and telephone skills, use of calculators, computers, copy machines, familiarity with chart of accounts, basic bookkeeping skills, payroll skills, tax

reports, financial reports, government agencies that relate to finances (Department of Labor and IRS), and W-2, W-4, W-9 and 1099 Forms.

• Professional Memberships: preferred and encouraged to participate in outside community civic organizations and associations.

Other:

Work well with people including staff, residents and families. Meet deadlines,

organize and prioritize the workload. A positive attitude, compassion for the elderly and thoughtful conduct are important.
