
Administrative Coordinator (Mail Delivery and Claims Management) - Berlin
Internal job title: Payment Operations - Senior Claims Analyst
Join our Berlin team and play a key role in keeping our claims and correspondence operations running smoothly. You'll own the full lifecycle of incoming physical mail — from intake and document management through to resolving third-party requests from authorities, bailiffs, and insolvency administrators. Full training is provided on claims handling, so you don't need to arrive as an expert.
What you'll do
Mail & Document Management
Receive, sort, scan, upload, and securely store all incoming physical mail and legal correspondence
Maintain accurate, audit-ready claim files with complete supporting documentation
Monitor and escalate mail handling delays or scanning issues to ensure operational continuity
Liaise with external scanning and mail vendors, including occasional travel to resolve urgent issues
Claims & Third-Party Handling
Manage your own caseload of claims efficiently and to a high standard
Handle requests from third parties including police, authorities, bailiffs, and insolvency administrators relating to seizures, insolvencies, and related matters
Support the wider Claims team with administrative tasks tied to physical correspondence
Communicate clearly with internal and external stakeholders to drive fast, accurate case resolution
Compliance & Data Protection
Handle all sensitive documents in line with internal policies and data protection requirements
Ensure all case files meet audit standards at all times
What you'll bring
Fluent German — C1, C2, or native level
At least 3 years in an administrative, office management, or document handling role
Comfortable working with confidential and legally sensitive materials
Strong organisational skills and close attention to detail
Sound independent judgement and the ability to prioritise under pressure
Flexibility to travel to the Berlin office at short notice when required, occasionally to Düsseldorf too
Nice to have
Experience handling claims such as seizures, insolvencies, or similar legal matters
Prior exposure to third-party authority requests (police, bailiffs, courts)
Background in banking or fintech
Bachelor's degree
