This position is located at the SC Department of Behavioral Health and Developmental Disabilities (BHDD) - Office of Mental Health, Catawba Community Mental Health Center (CCMHC), 205 Piedmont Blvd, Suite 100, Rock Hill, SC 29732.

The Administrative Coordinator II, working under general supervision of the Assistant Director, you will provide leadership and oversight to all CCMHC administrative functions of Reception/Front Office, Patient Intake and Medical Records for the four clinics within CCMHC’s catchment area. Serve as the direct supervisor to CCMHC’s Office Managers.

Responsibilities for the Administrative Coordinator II / Senior Office Manager:

  • Provide leadership and oversight to all CCMHC administrative functions of Reception/Front Office, that include Patient Intake, and Medical Records for the four clinic sites within the CCMHC catchment area. This oversight will include the implementation of standardized daily operational policies and procedures that meet the agency and center requirements. Duties include initial and ongoing training for all administrative staff. Coordinate and/or provide back-up coverage for all assigned areas.
  • Provide oversight to accurate data collection and data entry related to clinical services, documentation, financial and third-party billing information and other records on all new intakes and existing patient records.
  • Ensure that patients receiving a self-pay reduction have submitted appropriate documentation. Complete yearly financial updates on each client in accordance with BHDD policy and procedures. Provide oversight to medical records requests.
  • Assist with the annual internal self-audit, financial audits, and auditing of medical records release procedures.
  • Ensure data collection tools are used to assist with reducing no show and follow-up rates.

Examples of duties

  • A high school diploma and relevant experience in business management, public administration or administrative services. A bachelor’s degree may be substituted for required work experience.

Additional Requirements

  • Ability to lift a minimum of 5lbs, bend, stoop, climb, and file.
  • Must maintain a valid driver’s license and be able to drive from location to location.
  • Position is considered essential and may be called back during crises / disasters / emergencies.

Qualifications

  • Five (5) years of supervisory experience.
  • Knowledge of bookkeeping, the principles, policies, and practices of office management.
  • Ability to effectively plan and organize work activities and prioritize task completion according to schedules and goals.
  • Ability to communicate effectively.
  • Ability to deal courteously and effectively with the public.
  • Ability to exercise judgement and discretion in interpreting and applying policies and procedures.
  • Ability to train other employees.
  • Bilingual abilities in English and Spanish (or another language) are a plus.

Post hire, employees must:

  • Be able to pass CPR and Managing Agitation in the Psychiatric Setting (MAPS) Certification.
  • Be able to operate a state vehicle.
  • Be able to work a flexible schedule and know this position in considered essential and may be called back during crises / disasters / emergencies.
  • Perform all job duties and provide all services and documentation in compliance with CARF, OMH, CCMHC, Quality Assurance, Compliance, HIPAA, Transcultural and Productivity Standards, Policies and Procedures.
