This position is located at the SC Department of Behavioral Health and Developmental Disabilities (DBHDD) - Office of Mental Health, 2200 Harden Street, Columbia, SC 29203.

As the Administrative Coordinator I, working under general supervision of the Director of Performance Improvement (PI) for Long Term Care, perform complex administrative duties related to Performance Improvement / Quality Assurance daily operations. Maintain spreadsheets, graphs Pl/QA data, produce forms, collect data and generate reports for Roddey Pavilion. Responsible for office duties to include filing. typing, taking minutes, and logging/tracking incident report data. Provide assistance with EPMS preparation for planning and evaluation stages, monthly Quality Assurance Performance Improvement (QAPI) council meetings. and regulatory and accreditation surveys.

Responsibilities for the Administrative Coordinator I:

  • Provide administrative support for the PI Director and department staff. Routinely and/or as directed, independently perform: filing, typing, correspondences and memos, generating and maintaining spread sheets, production of forms and audit tools, and taking minutes as required. Maintain data that is essential to daily operations as required by regulatory agencies to comply with licensure and certification requirements.
  • Review Incident/Accident Report for completeness. Log data on Excel spreadsheets and maintain individual files for each Incident/Accident report in an organized filing system. Maintain M300s database for Roddey and other folders in the shared drive.
  • Provide coordination and administrative support of Quality Improvement initiatives for the facility. Participate in weekly neighborhood compliance rounds and other Performance Improvement initiatives.
  • Provide complex administrative/clerical support to multiple facility departments.
  • Maintain facility directives. Ensure Directives are reviewed, changed, formatted, signature retrieval, distributed and maintained in both the computer database and manual format per regulatory standards.
  • Coordinate monthly Quality Assurance Performance Improvement (QAPI) meetings, and prepare meeting materials, including data slides by graphing PI/QA data. Schedule performance improvement presentations, and arrange for equipment from IT Department for presentations. Maintain minutes and departmental Performance Improvement project presentations.
  • Assist in data collection for Quality Care Review Boards, Case Reviews, and Corrective Action Plans for the facility.
  • Coordinate the administrative part of grant proposals and submission. This includes management of grant materials, post grant reporting and maintenance of grant records.
  • Participate in facility meetings and other weekly/monthly assigned meetings.

  • Must be able to stand, walk, reach, pull, push, stoop and bend.

  • A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience.

Qualifications

  • Performance Improvement/Quality Assurance experience.
  • Bilingual abilities in English and Spanish (or another language) are a plus.

  • Have data entry skills in Excel spreadsheets, graphing data, PowerPoint, Adobe Pro, production of forms and the ability to collect data and generate reports.
  • Be able to type at a corrected rate of 35 wpm.
  • Have an extensive knowledge of grammatical rules, spelling, language usage and clerical formats.
  • Have knowledge of policy management. practices and procedures.
  • Have working knowledge of the care and operation of standard office equipment.
  • Be able to establish and maintain complex filing systems.
  • Be able to establish and maintain working relationships with staff members, external partners, surveying bodies and the general public.
