Qualifications
Required Education and Experience:
Bachelor's degree or equivalent combination of education and experience.
Two years of experience in office administration.
Preferred Qualifications:
Experience with TAMU software AggieBuy, Emburse and Laserfiche.
Knowledge, Skills, and Abilities:
Proficient in Microsoft Office applications (Outlook, Word, Excel, Power Point) and general office software.
Strong time management and organizational skills to prioritize tasks and manage multiple responsibilities.
Strong interpersonal skills.
Excellent verbal and written communication skills, with the ability to maintain a professional tone.
Ability to work with sensitive information and maintain confidentiality.
Ability to anticipate needs and solve problems.
Ability to multitask and work cooperatively with others.
Ability to effectively interact with high-level guests in a forward-facing role.
Essential Duties/Tasks
Administrative Operations Management
Oversees planning and execution of administrative operations.
Maintains daily office calendar and appointment monitoring.
Reviews and monitors project and program timelines and proactively identifies issues.
Coordinates office records retention and maintains reference materials.
Coordinates inventory of office supplies and equipment maintenance.
Maintains office, kitchen, and common areas to ensure cleanliness, organization, and adequate supplies.
Performs daily opening and closing procedures to ensure proper setup and shutdown of office spaces.
Researches and responds to inquiries about office procedures and processes.
Develops and maintains administrative office procedures.
Serves as primary or backup administrative support to assigned functional areas.
Support and Coordination
Provides administrative support for executive staff and various team members.
Coordinates meetings, conferences, and special events.
Coordinates logistical arrangements for travel, meetings, and events.
Compiles and distributes candidate itineraries and schedules for interviews.
Assists with content and maintenance of office website.
Serves as the first point of contact for visitors, phone calls, and general inquiries.
Coordinates internal meetings and events, including scheduling spaces and logistics, and provides support for external meetings and conferences as needed.
Departmental Operations Support
Manages mail services, including package pickup, delivery coordination, and quarterly distribution of the Center’s magazine to TAMU offices.
Serves as the primary contact for facility-related needs, including door access/security systems and maintenance requests.
Manages department parking permits and recycling efforts.
Assists with employee onboarding and offboarding, including workspace preparation.
Supports departmental operations, including briefing materials, file maintenance, purchasing, payments, deposits, travel coordination, and expense reporting.
Runs local business errands as needed.
Performs other duties as assigned to support efficient departmental operations.
Compliance and Policy Oversight
Monitors compliance with office policies and procedures.
Analyzes requirements for projects or initiatives.
Provides technical information regarding administrative procedures.
Assists in establishing procedures to ensure compliance with regulations.
Staff Training and Supervision
May supervise and train student workers and support staff.
Assists in the development of processes for student onboarding.
