Administrative Coordinator

General Council

Hourly Wage: $17.36/Regular/Full-Time

The primary responsibilities of this position will be bookkeeping, coordinating meetings and annual trips. Must thoroughly understand the nature of Yakama Nation General Council governmental operations and be familiar with General Council subject manner and technical considerations. Work requires professionalism at all times when responding to telephone calls, office visits, inner departmental matters, and all correspondences. Work involves some lifting when organizing or moving boxed documents to storage or archives. Mandatory to attend Annual/Special General Council meetings, assist with setting up for the meetings and recording sessions. Coordinate food purchases and meals with volunteer cooks for the Annual General/Special meetings. Prepare the attendance forms and sign in sheets for employees then forward them to the programs or enterprises to the timekeepers. Provides Administrative support to the General Council Executive Board and General Council support staff to accomplish program objectives. Responsible for compiling the Annual General Council report book working with all programs and enterprises and the printing company to completion. May be assigned new projects and tasks not included on the description, or to assist other General Council support staff, interpreters, counters, sergeant-at-arms, i.e., code of ethics and tribal council members as directed by supervisor ensuring the efficient effective functioning of the work unit. Position calls for flexibility.

Examples of Work Performed:

Provide accurate bookkeeping service for the program; verify, allocate and post transactions to the appropriate subsidiary accounts.

Assist in maintaining time and attendance reports. Maintain program personnel files confidentially.

Maintains and monitors office activities through direction of General Council Executive Board and Administrative Executive Assistant.

Prepares General Council notices and distributes to the Nation's membership.

Prepare office supply orders and monitor inventory to ensure adequate supplies are maintained.

Prepare historical expense records as needed.

Process purchase orders, travel advances/close outs and journal entries promptly and accurately.

Accurately scan documents to electronically transfer into the office filing system (Laserfiche).

Add new information to file records, create new ones and archive as instructed.

As needed, may exercise independent judgment, and make technical decisions in accordance with existing administrative policies and procedures.

Composes and prepares correspondence for final approval and signature.

Assists in preparation of reports from rough drafts that may include graphs or illustrations.

Maintains a log of motions and resolutions.

Assist with transcribing minutes as needed of General Council meetings.

Maintain a log of all requests, minutes, motions, resolutions and or any other documents.

Assist with administrative duties for the Code of Ethics.

Maintain and clean storage areas for perishable traditional foods, canned food, pots and pans, cooking equipment, etc.

Ability to purchase traditional foods from the general membership and keep inventory.

May be assigned new projects and tasks not included in the description, or to assist other General Council staff as requested by supervisor ensuring the efficient and effective functioning of the work unit.

Knowledge, Skills and Abilities:

Knowledge of the Yakama Nation Governmental Organization.

Knowledge of the Treaty of 1855, Yakama Nation culture, tradition, and customs.

Knowledge of Yakama Nation governmental and administrative operations such as General Council subject matter.

Knowledge of Yakama Nation policies & procedures applicable to the General Council Office.

Knowledge of the Microsoft D365 system.

Knowledge of general office administration principles, practices, and procedures.

Knowledge of standard filing principles and procedures (alphabetical, chronicle, numerical).

Knowledge of word processing, transcription and maintaining files and records.

Knowledge of the structure and content of the English/Yakama language including the meaning and spelling of the words, rules of composition and grammar.

Ability to utilize a computer and assorted software applications.

Ability to utilize standard office equipment such as a copy/fax machine, multi-line telephone, 10-key calculator etc.

Ability to communicate effectively with professionalism both orally and in written form.

Ability to establish effective and courteous working relationships with co-workers, tribal programs, tribal leadership, outside business associates, and the general public.

Ability to learn and adhere to office and administrative procedures and tribal policies.

Ability to provide secretarial and administrative support to General Council Executive Board, Code of Ethics members and support staff as needed.

Ability to maintain ethical and respectful professional conduct at all times while employed with General Council Office.

Ability to perform filing duties with proficiency and accuracy.

Ability to plan, organize and prioritize workload.

Ability to work independently and productivity to meet deadlines with minimal supervision.

Ability to work under stress and to handle adverse situations.

Ability to be dependable, prompt and maintain good attendance.

Ability to maintain strict confidentiality.

Ability to prepare hard copy of minutes, motions, and resolutions.

Ability to type with speed and accuracy.

Ability to remain flexible to changes in assignments or situations, priorities and handle frequent interruptions.

Skill in operating equipment associated with the position to include audio recording software, transcriber, and scanner.

Minimum Requirements:

Minimum of two years progressively responsible secretarial or general office work experience or a combination of education and work experience totaling of three years relative to job requirements that demonstrates the ability to perform the work.

Must be of good moral character.

Must possess a valid Washington State Driver's License with the ability to obtain a Yakama Nation Driving permit.

Required to pass a pre-employment drug test.

Preferred Requirements:

Enrolled Yakama Preference, but all qualified applicants are encouraged to apply.
