THE POSITION

The administrative coordinator is responsible for providing administrative support to the Finance team.

KEY ACCOUNTABILITIES

Accounts Payable (40%)

  • Assist with accounts payable invoice coding across Finance, Food Services, Human Resources, and Payroll.
  • Process and manage employee expense reports for designated employee groups (A-F).
  • Review and reconcile accounts payable statements as required.
  • Respond to accounts payable inquiries and provide administrative support to internal departments and external vendors.
  • Support the Accounts Payable team with various clerical and administrative duties as required.

Administration (60%)

  • Maintain and organize finance records, files, and documentation in accordance with company standards.
  • Provide administrative support to the Finance team, including document processing, tracking, and records management.
  • Serve as System Administrator for Iron Mountain document management services.
  • Coordinate office supply procurement and vendor services, including water services, office supplies, shredding services, and equipment maintenance.
  • Monitor and maintain kitchen and common area supplies.
  • Maintain the Finance Shared Services folder and ensure documentation is current and accessible.
  • Prepare and reconcile various general ledger accounts.
  • Administer Checker Cab taxi chits and related tracking processes.
  • Manage petty cash, including reconciliation and reporting.
  • Coordinate Elite Travel administration, including weekly reconciliations, employee account management, and new profile setup.
  • Oversee postage machine maintenance, supply ordering, and reporting requirements.
  • Coordinate Finance and Human Resources team events, meetings, and staff functions.
  • Assist with insurance administration, including on-site and off-site event requirements and maintaining authorized driver records.
  • Serve as System Administrator for Smartwaiver.
  • Manage Square gift card inventory and administration.
  • Respond promptly to supplier, vendor, and departmental inquiries.
  • Actively participate in workplace health and safety programs and ensure compliance with company policies and procedures.

Accounts Receivable Support

  • Cross-train in Accounts Receivable functions to provide coverage for the Accounts Receivable Coordinator during vacations, absences, and peak workload periods.

THE INDIVIDUAL

The ideal individual will have the following background:

  • Between 1-2 years of accounting experience in a high-volume environment.
  • Ability to set priorities in a multitasking environment.
  • Flexible and have a strong sense of urgency.
  • Intermediate computer skills (Microsoft suite, etc.) along with customer service and data entry experience are a must to be successful in this role.

CERTIFICATIONS

  • Post-secondary education in administration or business is an asset.
