The Administrative Coordinator is primarily responsible for supporting an assigned manager (typically a Director or above) with administrative tasks and performing the front desk activities. They will also provide CMMS (Computerized Maintenance Management System), Financial system, eContract, and EHS administrative support and serve as a back-up for the Executive Assistant at the site.

Essential Functions

  • Administrative Support
  • The Administrative Coordinator will prioritize workload and deliver specific clerical/administrative activities and services under the guidance of the assigned manager.
  • Provide comprehensive administrative support essential to the daily operations of the site
  • Support various business activities, including quality document system support through filing, archiving, processing invoices, and verifying data accuracy
  • Manage office supply inventories across both buildings by regularly monitoring stock levels and placing orders as needed
  • Prepare and coordinate workspaces and onboarding arrangements for new hires to ensure a smooth and welcoming start
  • Coordinate catering and logistics for site events in collaboration with the Executive Assistant
  • File expense reports for Director of Facilities and Senior Director of BPD, PD
  • Serves as a backup to the Executive Assistant
  • CMMS (Computerized Maintenance Management System), Finance and EHS Administrative Support
  • Supports the CMMS administrator’s work - assist the Senior Maintenance Coordinator by uploading documents into system and creating work orders, and serve as a backup to CMMS administrator on all duties.
  • Provide administrator support for Finance and EHS functions as required.
  • Front desk Duty (typically 7:30 AM to 11:30 AM or 12PM)
  • Receives and greets visitors. Directs them to the appropriate place or employee and answers general questions.
  • Issues control badges with appropriate access levels, and ensuring that all documentation complies with GMP standards, and records visitors' arrivals and departures.
  • Ensure the vendors complete the safety and GMP training when needed and maintain the records.
  • Answer incoming calls and route accordingly. Maintain updated phone list with changes.
  • Ensure that the reception area is neat; call for taxi service if necessary; other miscellaneous items as assigned.

Requirements

  • High School diploma or equivalent.
  • 3 to 5 years of experience of administrative skills
  • Proficiency in MS Office Suite (PowerPoint, Word, Excel) Outlook
  • Must be a self-starter with the ability to multi-task
  • Flexibility to accommodate rapidly changing priorities and deadlines.
  • High level of accuracy and attention to detail
  • Strong verbal and written communication skills
  • Strong customer service skills

Eisai Salary Transparency Language:

The hourly rate for the Administrative Coordinator, Exton Facilities (Onsite) is from :$30-$39Under current guidelines, this position is eligible to participate in : Eisai Inc. Annual Incentive Plan.

Final pay determinations will depend on various factors including but not limited to experience level, education, knowledge, and skills.
