
Administrative Coordinator, Cell Therapy Clinical Operations

Based in Gaithersburg, you will orchestrate calendars, travel, contracts and key business processes across a global, highly collaborative network. Accountabilities
Calendar Leadership: Lead sophisticated calendars for senior field Executive Directors, prioritize conflicts and adapt quickly to changing priorities so leaders stay focused on what matters most.
Global Travel and Meeting Logistics: Manage end-to-end travel arrangements (flights, trains, cars, conference registrations, visas) and book rooms globally to keep engagements on track and on budget.
Team Operations: Plan regular leader meetings with direct reports, including objectives reviews and mentoring sessions, and maintain accurate records for easy access to historical decisions and follow-ups.
Cross-Region Collaboration: Coordinate seamlessly with administrative colleagues across the US and Europe to align schedules, processes and communications for global activities.
Project Administration: Provide specialist administrative support for department initiatives, ensuring timelines, documentation and stakeholder updates are consistently managed.
Process Excellence: Develop and maintain team processes, promote standard practices and share expertise in key systems to improve efficiency and reduce cycle times.
Site Event Coordination: Serve as the point of contact for Gaithersburg site events, aligning stakeholders and logistics to deliver high-quality experiences.
Meeting and Conference Support: Plan and execute logistics for live and virtual meetings and conferences, enabling productive sessions and timely outcomes.
Financial Administration: File expense reports accurately and compliantly for leaders, and support prompt creation of contracts and payment of purchase orders.
Reporting and Tracking: Track and support assigned internal projects and processes, generating accurate reports from internal systems under tight time constraints to inform decisions.

The annual base pay (or hourly rate of compensation) for this position ranges from $32.66/hr to $49/hr. Our positions offer eligibility for various incentives—an opportunity to receive short-term incentive bonuses, equity-based awards for salaried roles and commissions for sales roles.
