Summary
Under the general supervision of the Director of Special Education or designee, the Administrative Coordinator is responsible for organizing and assembling information on legal matters involving Special Education and Board of Education (Board) policies, relevant state and federal law such as the Individuals with Disability Education Act, Connecticut State Department of Education Bylaws and Regulations; establishing and maintaining detailed office records and confidential files; and responding to public information requests related to special education and 504 Plan programming and students with disabilities; coordinates and maintains the calendars of key personnel including the district attorney and out-of-district team, contract oversight and financial coordination; does related work as directed.
Examples of duties
- Management of Out of District Planning and Placement Team meetings, taking into consideration legal deadlines, private school schedules and parent constraints.
- Oversight and coordination of Board attorney’s calendar including collaboration with internal school teams, private school teams and opposing counsel.
- Provides contract oversight from inception to completion.
- Establish and maintain positive working relationships with vendors to optimize contractual agreements.
- Responsible for maintaining accurate and updated special education IEP file.
- Coordinates responses to all requests made under FERPA and/or the Freedom of Information Act including identifying exemptions under the law, working with staff to retrieve documents, and calculating relevant costs.
- Compiles and organizes evidence and other information for mediations, resolutions, and hearings and meetings, as appropriate.
- Maintains professional growth and development through seminars, workshops, and professional affiliations to keep abreast of latest developments in public school law.
- Performs other duties within the scope of the position or as assigned.
Qualifications
- Knowledge and use of culturally responsive practices.
- Ability to communicate effectively both orally and in writing.
- Working knowledge of legal and special education terminology.
- Proficient use of digital platforms and technology.
- Ability to prepare routine legal documents or legal responses (i.e., affidavits, initial responses to notice of lawsuits, etc.).
- Ability to establish and maintain effective working relationships with public, professionals, and court personnel.
- Excellent organizational skills and attention to detail.
- Ability to manage competing priorities in a fast-paced environment.
- Ability to work independently with minimal supervision.
- Ability to handle confidential and highly sensitive information in a professional manner.
- Management and organizational skills that demonstrate an ability to prioritize work under time constraints and in an environment of multiple tasks and shifting priorities.
Supplemental information
Graduation from an accredited college with at least an associate degree (AS) in paralegal studies or a business concentration and four (4) years of progressively responsible experience in office work OR, any equivalent combination of training, education and experience as described above.
