Objective

The purpose of this position is to provide administrative support services. Organize and coordinate the tuition reimbursement program and provide back-up support for department payroll processing.

This class works under general supervision, independently developing work methods and sequences.

Examples of duties

ESSENTIAL FUNCTIONS
The essential functions listed below are those that represent the majority of the time spent working in this class. Management may assign additional functions related to the type of work of the class as necessary.

  • Assists in budget preparation and monitors and controls expenditures.

  • Assists in resolving problems, complaints and grievances.

  • Evaluates programs, policies, and procedures for effectiveness, and recommends modifications and improvements.

  • Reviews project completion schedules and logistical issues and discusses with management timeframes, deadlines and cost.

  • Coordinates the preparation and adoption of regulations, policies and procedures.

  • Represents the department to the public to provide information concerning programs and operations.

  • Organizes and coordinates programs.

  • Provides technical assistance and instruction in project scheduling, customer service, problem solving, policies and procedures and quality assurance.

  • Determines training needs assessments and assists in developing training programs.

  • Researches information, collects data and maintains database records to track projects and to generate progress reports.

  • Coordinates the scheduling of multiple projects and reviews work plans to ensure that personnel are available for projects.

  • Collects and analyzes data on programs and recommends a plan of action for improving services.

  • Prepares status reports on projects, correspondence and documents and completes special projects.


ZOO

  • Contacts guests to engage and follow-up regarding questions, concerns, and issues.

  • Serves as a liaison to Guest Relations.

  • Performs administrative, clerical and receptionist duties.

  • Monitors radio transmissions and makes public address system announcements.

LABOR

  • Attends meetings and takes minutes.

  • Performs related work.

PH&W LEAD HAZARD REDUCTION PROGRAM

  • Processes regulatory documents, assists the supervisor in documenting and resolving environmental lead safety concerns, and ensures accurate data in multiple systems.

  • Inputs statistical data in program data systems.

  • Provides technical assistance, consultation, education, and instruction to staff and the community on how to identify, test for, and mitigate damages of lead exposure.

  • Develops and maintains program records, policies, and procedures.

  • Prepares reports, develops, and designs community outreach and educational materials.

  • Assists in verifying compliance with Louisville Metro Code of Ordinances (LMCO) Chapter 167, Lead Hazard Reduction Program for Rental Housing Units.

  • Performs administrative, clerical and receptionist duties.

Qualifications

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

  • Bachelor’s Degree in Business or Public Administration or related discipline.

  • Six (6) months of clerical or administrative, customer service, human resources or related experience.

  • EQUIVALENCY: An equivalent combination of education and experience may be substituted.

REVENUE

  • Six (6) months of Revtech 21 tax system case flow management, correspondence and form creation and maintenance using Acrobat Professional and Microsoft Office 2007 including mail merge, bookmarks and templates; and Sybase SQL report creation experience.

LABOR

  • Six (6) months of office administration, clerical, or document management experience.

OTHER MINIMUM REQUIREMENTS

  • Meets regular and punctual attendance standards and any special needs of the position as determined by management, including mandatory overtime and performing related work

POLICE

Must submit to a pre-employment polygraph test.

  • Must not have been convicted of a felony.

  • Misdemeanor convictions will be considered on an individual basis.

  • Applicants who have illegally bought or used marijuana, including medicinal cannabis, within six months of application will be disqualified.

  • Applicants who have illegally sold marijuana, including medicinal cannabis, within one year of application will be disqualified.

  • Applicants who have illegally bought, sold, or used any controlled substance or narcotic drug, other than marijuana, without a prescription within six years of application will be disqualified.

YOUTH DEVELOPMENT

  • Applicants and employees in positions which perform job duties that may require contact with offenders in the custody or supervision of the Department of Juvenile Justice or with youth in the care, custody or supervision of Youth Development must meet qualifications pursuant to the federal Prison Rape Elimination Act, 28 CFR 115.17 and 115.317, to include periodic post-employment criminal background checks.

PHYSICAL DEMANDS
Physical demands refer to the requirements for physical exertion and coordination of limb and body movement.

  • Performs sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a regular and recurring basis or sustained keyboard operations.
