Job Description

The Administrative Coordinator supports the financial planning and execution of meetings, conferences, sponsorships, and events for the Global Wealth and Asset Management events team. This role specializes in event budgets, payments, reconciliation, and financial reporting, ensuring all event-related financial activity is accurate, compliant, and completed on time. The Finance Coordinator works closely with events, marketing, procurement, and finance teams to support seamless event delivery in a fast-paced environment.

Key Responsibilities

  • Manage end-to-end event budgets, including setup, tracking, forecasting, and final reconciliation
  • Process event-related payments, vendor invoices, purchase orders, deposits, and refunds in accordance with company policies
  • Perform detailed budget-to-actual reconciliations for events, identifying variances and resolving discrepancies
  • Maintain organized and accurate budget files, contracts, and financial documentation for all events
  • Support financial tracking for sponsorships, meetings, conferences, and virtual or hybrid events
  • Prepare and distribute event financial reports, summaries, and status updates for internal stakeholders
  • Partner with event planners, marketing, and external vendors to ensure financial requirements are met
  • Support the use of Cvent for event budgeting, financial tracking, vendor payments, and post-event reconciliation
  • Track event commitments, accruals, and remaining spend to ensure alignment with approved budgets
  • Ensure adherence to financial controls, records management, and governance requirements
  • Assist with audits, reviews, and ad hoc financial analysis related to event spend
  • Provide general administrative and financial support to the events and finance teams as required

Required Qualifications

  • University or college degree in Finance, Accounting, Business Administration, or a related field
  • 1–3 years of experience in a finance, accounting, or event finance support role
  • Proficiency in the MS Office suite (Excel, Word, PowerPoint, Outlook), with strong Excel skills for budgeting, reporting, and reconciliation
  • Hands-on experience processing invoices, expense reports, vendor payments, and purchase orders
  • Demonstrated experience managing or supporting event budgets and reconciliations
  • Familiarity with financial systems, ERPs, or expense management platforms
  • Experience with Cvent for event financial management is a strong asset
  • Excellent attention to detail and strong organizational skills
  • Ability to analyze financial data and communicate findings clearly to non-finance partners
  • Strong interpersonal and communication skills with the ability to collaborate across teams
  • Ability to prioritize multiple events and deadlines in a fast-paced environment
  • Self-motivated, proactive, and capable of working with minimal supervision
  • Results-oriented with a strong commitment to accuracy, accountability, and continuous improvement
