Join Our Team at DCFS: Administrative Coordinator 1-3

This position provides essential administrative support for CSE State Office, including processing incoming and outgoing mail. imaging documents, monitoring the CSE Customer Support email, assisting customers and staff, and handling other daily office functions.

Supplemental information

Job Duties:

  • Performs outgoing and incoming mail duties daily, which includes mail/correspondence sent to and received from CSE offices statewide.
  • Performs imaging/indexing of CSE documents into the DCFS electronic case system (FILENET) for the financial unit and other State Office personnel, as needed.
  • Maintains all routine administrative functions State Office personnel as needed, which includes, but not limited to, screening visitors and telephone calls to secure information for referral to the proper state agency or top-level management personnel.
  • Assist with monitoring and responding to the CSE Customer Support email group, including but not limited to processing paper applications upon request and assisting, as needed, with obtaining birth documentation from Vital Records.
  • Miscellaneous duties such as troubleshoots printer/copier issues, maintains supplies, repairs as needed and changing toner on printers, faxes and scanners.

Position-Specific Details:

Appointment Type: This position may be filled as a probational appointment or a job appointment that may last up to 48 months. Job appointments may convert to probational appointments. Also, it may be filled as a detail and promoted within 12 months or by promotion of a permanent classified employee.

Career Progression: This vacancy may be filled as an Administrative Coordinator 1, 2 or 3 depending on experience.

Work Schedule: Typically, work hours are 8:00 am to 4:30 pm, Monday – Friday. Flexible work schedules are available after meeting certain criteria and is dependent upon the position you are applying for. Some positions require working shifts.
