JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 3 provides administrative support for the Department of Anesthesiology Chair and the department. This position provides administrative, financial, and data management support.
- Provides administrative support to the Chair, faculty, and other guidance to administrative staff for the Department of Anesthesiology; serves as initial contact for the department.
- Assists in the organization, preparation, and completion of faculty offer letters and ensures accuracy in documentation.
- Administers the Anesthesiology department’s annual operating budget, including departmental accounts, grants account, and other restricted accounts through ledger reconciliation, committing funds, and processing documentation in consultation with the department head and staff.
- Maintains and utilizes the Anesthesiology Department and Chair’s databases and listservs.
- Handles all day-to-day financial operations for the departmental accounts; initiates, reviews, and certifies all purchase orders, invoices, and internal vouchers in DASH.
- Coordinates with the Residency Coordinator and Residency Program Director in Anesthesiology; maintains and assists in both New Innovation and other software used by the faculty for the management of the educational initiatives of the department.
- Utilizes various software packages (Word, Excel, PowerPoint) to generate correspondence and presentations.
- Provides support for space and equipment inventory; maintains database of departmental computers and other minor sensitive equipment.
- Performs other related duties as assigned.
MINIMUM REQUIREMENTS
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Four (4) years of administrative/clerical experience; OR Associate’s Degree and two (2) years of work-related experience; OR Bachelor's Degree in lieu of experience.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Proficiency in financial systems.
- Superior proficiency in Microsoft Office.
- Excellent interpersonal, oral, and written communication skills.
- Skill in time management.
- Ability to prioritize work and maintain confidentiality.
- Skill in developing correspondence and proofreading for accuracy with high-attention to detail.
- Ability to work independently as well as collaboratively.
