Job Summary

The Administrative Support provides operational and administrative support to assigned teams, departments, or business functions. The role is responsible for coordinating documentation, collecting and maintaining data, preparing reports and presentations, supporting business processes, and ensuring accurate and timely information management. Working with limited supervision, this position contributes to efficient departmental operations, process compliance, and data-driven decision-making while supporting continuous improvement initiatives.

Key Responsibilities Administrative & Operational Support

  • Provide administrative support to departments by conducting research, preparing reports, and responding to routine and complex information requests.
  • Gather, compile, verify, and maintain data in spreadsheets, databases, reports, presentations, and business systems.
  • Coordinate and support departmental activities, meetings, conference calls, and scheduling requirements.
  • Prepare correspondence, presentations, and other business documentation as required.
  • Maintain and update departmental policies, procedures, records, and documentation.

Data Management & Reporting

  • Collect, analyze, and validate business data to ensure accuracy and completeness.
  • Generate regular and ad hoc reports, dashboards, and presentations to support operational and management reviews.
  • Monitor key performance indicators (KPIs) and prepare performance reports for stakeholders.
  • Utilize data analytics and visualization tools to identify trends, support problem-solving, and enable informed business decisions.
  • Ensure timely and accurate data entry, record maintenance, and report generation.

Stakeholder Coordination

  • Serve as a point of contact for internal and external inquiries, ensuring timely and accurate responses.
  • Coordinate with vendors, suppliers, and internal teams regarding documentation, payments, and business processes.
  • Support accounts payable activities by preparing and submitting payment-related documentation and resolving inquiries.
  • Collaborate with cross-functional teams to support business objectives and improvement initiatives.

Continuous Improvement

  • Participate in departmental projects and continuous improvement initiatives.
  • Support process standardization, efficiency improvements, and data quality enhancement efforts.
  • Act as an informal resource and provide guidance to less experienced team members when needed.

Qualifications

Education

  • High School Diploma, secondary education certificate, or equivalent experience required.
  • Associate's Degree, Diploma, Bachelor's Degree, or equivalent qualification in Business Administration, Commerce, Operations, Data Management, or a related field preferred.

Certifications

  • Relevant certifications in Business Administration, Data Analytics, Microsoft Office, or related disciplines are advantageous.

  • Demonstrated ability to manage multiple tasks, maintain accuracy, and support organizational goals in a fast-paced environment.
