Job Description

Job Summary:

Coordinates documents and gathers and inputs data related to assigned administrative support duties for a team, department, function or other organizational leader/group. Completes work with a limited degree of supervision.

We are looking for a talented Administrative Associate to join our Distribution Business in Coburg, OR.

In this role, you will make an impact in the following ways:

  • Opening, updating, and invoicing shop work orders.
  • Providing administrative support through data entry, reporting, and document management.
  • Responding to customer, vendor, and internal inquiries in a timely and professional manner.
  • Scheduling meetings, preparing correspondence, and coordinating departmental activities.
  • Processing vendor payments and maintaining accurate records within company systems.
  • Supporting continuous improvement projects and maintaining departmental procedures.
  • Partnering with teammates to ensure smooth day-to-day shop and administrative operations.

In order to be successful in this role, you will need the following:

  • Experience in administrative, service administrator, or customer support roles.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Experience with work order management, invoicing, and documentation.
  • Proficiency with Microsoft Office, databases, spreadsheets, and business systems.
  • Strong communication and customer service skills.
  • Ability to work independently while supporting a collaborative team environment.
  • Experience supporting shop operations, service departments, or maintenance environments is preferred.
  • High attention to detail and accuracy when handling data, reports, and records.

Education, Licenses, Certifications:

High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.

Experience:

Requires significant relevant work experience or specialized skills obtained through education, training or on-the-job experience.
