Administrative Associate
Organizational Setting and Work Relationships
The Administrative Associate is responsible for the office management in assisting the concerned manager in the implementation of general administrative and resource management tasks.
The Administrative Associate is normally supervised by a (Senior) Administrative Officer or a National Administrative Officer who defines general work objectives and provides necessary advice and guidance. The incumbent may supervise some support staff. S/he keeps frequent contacts with staff at various levels in the office and occasionally with staff at the same level in other duty stations and/or Headquarters; with local suppliers and/or officials and/or partners on subject matters which may be of importance to the Organization.

Desired Candidate Profile
Administrative Associate is a member of the Travel Team within the Administration and Finance Unit in Ankara and reports to the Senior Administrative Associate where the head of unit is the Finance Officer.
The incumbent would follow up travel transactions, regular reporting of travel expenses for the operation, and follow up the implementation of UNHCR Travel Policy in Ankara.
The incumbent would be ideally knowledgeable on UNHCR travel policies and procedures and is expected to ensure these are observed about mission travels (DSA, ad-hoc DSA, Danger Pay, Terminal Expenses, etc.).
The incumbent will provide regular support to all administrative assistants and staff as required on travel-related issues and entitlements.
Training and support are provided to users with regard to the UNHCR travel policies and procedures and related systems.
Report and analysis on travel spending and related statistics are produced.
S/he keeps frequent contacts with staff at various levels in the office and with staff at the same level in other duty stations and with local suppliers, under the direction of the supervisor. The incumbent will also maintain contact with government officials as needed.
Since the focus of the position is travel and event management, particularly with respect to FRIT project implementation, the incumbent would need a solid background in travel and event management, preferably under similar circumstances, either through a non-profit organization or through a large travel agency.
Fluency in Turkish is mandatory given the need for frequent contact with government officials and local suppliers.
The incumbent should demonstrate the maturity to be able to cope with the demands of the position, which is usually time-bound and quickly shifting in terms of priorities.

• A staff member selected for a position will receive the grade of the position and corresponding entitlements from the first day of assignment. When a staff member is selected for a lower grade position, the step at the lower grade will be two steps below that which most closely matches the staff member’s salary at the higher grade
• Staff members appointed to a position at a lower grade within five years of reaching the normal retirement age will continue to have pension contributions based on the pensionable remuneration of the staff member's previous higher grade for up to three years or until the normal retirement age, whichever is sooner. If the staff member remains in service beyond normal retirement age, the pension contributions will from that date be based on the pensionable remuneration of the grade of the staff member's current position.
