ESSENTIAL JOB FUNCTIONS: The Administrative Associate 3 performs a variety of complex administrative and support duties in the Department of Neurology. This position provides day-to-day support for the departmental operating functions and fiscal procedures.
- Processes all departmental and grant-related invoices.
- Maintains accounts receivables including procurement card purchases.
- Prepares travel authorization in the Oracle and prepares honorariums for visiting speakers or other guest speakers.
- Completes the annual space and inventory report; handles various inventory matters such as new assets / UT tag numbers.
- Assists the Assistant Director and Director with personnel needs, staff training, budgetary matters, space needs, short- and long-term planning, etc.
- Handles departmental equipment check-out procedures and maintains related files.
- Performs administrative functions such as handling telephone communications, composing routine letters and emails, sorting and distributing mail and documents, operating office equipment, and maintaining office files.
- Enters additional pay information, as necessary.
- Performs other duties as assigned.
MINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Four (4) years of related work experience; OR Associate’s Degree and two (2) of related work experience; OR Bachelor’s Degree in lieu of experience.

- Ability to manage time and work on multiple tasks simultaneously.

- Excellent interpersonal, verbal, and written communication skills.
- Ability to think and work independently as well as collaboratively.
- Knowledge of Microsoft Office.
