Job Description

Under the direction of an assigned supervisor, the Administrative Associate 3 provides administrative support for faculty appointments and affiliated/volunteer faculty appointments within the Department of Medicine.

  1. Provides administrative support with initial New Hire faculty appointments as well as affiliate, volunteer, joint and adjunct.
  2. Communicates with all paid faculty and all non-paid faculty in Medicine, Campus Human Resources, and department Business Manager regarding start dates, orientation letter, etc. for all faculty new hires.
  3. Assists with the coordination of faculty recruitment, faculty certification and promotion processes.
  4. Coordinates the departmental faculty evaluation process for all paid faculty.
  5. Initiates and follows the faculty request process.
  6. Acts as the department point of contact regarding the creation and monitoring of all Department of Medicine faculty positions during the recruitment and onboarding process
  7. Processes necessary forms for faculty transferring from residency/fellowship to new hire faculty.
  8. Prepares personnel initial hire/rehire paperwork for new hire faculty in DOM and submits to the Office of Faculty Affairs.
  9. Provides administrative support for the Chair with the faculty promotion and tenure review process.
  10. Processes mid-tenure review and interim probationary review.
  11. Performs other duties as necessary.

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of related experience; OR Bachelor’s Degree in lieu of experience; OR a combination of education and experience to equal four (4) years.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent organization, verbal and written communication skills.
  • Excellent computer skills, including proficiency with Microsoft Office suite and use of database programs.
  • Ability to work independently and easily adapt to frequently changing priorities.
  • Ability to multitask and meet deadlines.
  • Ability to communicate in a professional manner with diverse levels of people and maintain a high degree of confidentiality.
