Job Title: Administrative Assistant – Workplace & Facilities Support
JobLocation: (On-Site) - Toronto, Ontario, Canada

Rate: 18 to 20 CAD PH

NearSource is seeking an Administrative Assistant to support workplace operations and facilities coordination for a large-scale enterprise environment. This role focuses on ensuring seamless office functionality, supporting events, and maintaining high standards of workplace experience. The ideal candidate will bring strong organizational skills, adaptability, and a service-oriented mindset.

Key Responsibilities

• Provide front desk and reception coverage, ensuring a professional and welcoming office environment
• Execute event setup and teardown activities, ensuring timely and efficient coordination
• Coordinate meeting room setups and maintain readiness for daily operations
• Manage office supplies inventory and ensure consistent availability of essential items
• Support facilities operations, including basic maintenance coordination and issue identification
• Coordinate with external vendors for routine services and workplace requirements
• Maintain workplace organization, cleanliness, and operational efficiency
• Adapt to a fast-paced, dynamic environment while proactively addressing workplace needs
• Deliver high-touch, white-glove service to internal stakeholders and visitors

Must-Have Skills

• Demonstrated experience supporting facilities operations and workplace services
• Proven ability to work effectively in a fast-paced and dynamic environment
• Experience delivering white-glove service in a professional setting
• Strong communication and organizational skills
• Ability to coordinate events, meeting setups, and office operations
• Proactive mindset with strong problem-solving capabilities

Nice-to-Have Skills

• Familiarity with office safety protocols and basic facility maintenance practices
• Experience coordinating with external vendors and service providers
• Exposure to workplace event planning and logistics coordination
• Post-secondary education in a related field
