Job Description

An Administrative Assistant for the Warehouse Department is primarily responsible for assisting the warehouse team with invoicing, coordinating logistics for shipping of products as directed by senior management.

Requirements

Responsibilities Responsibilities include, but are not limited to:

  • Initiate documentation and proper paperwork for all outgoing products and orders.
  • Assist with preparing finished materials for shipping and ensure proper flow for shipping procedures.
  • Help prioritize and organize all orders for shipping.
  • Ensure all finished goods are in CPC’s system and properly located.
  • Help to schedule truck pickups between customer and logistic companies.
  • Assist with shipping invoicing, credits and UPS shipments.
  • Maintain cleanliness of warehouse office and personal desk area.
  • Assures that truck drivers are given proper documentation including correct freight as per the Bill of Lading.
  • Able to operate company vehicles in a safe and legal manner, as needed.
  • Support mail operations as needed, including transporting interoffice mail and packages between CPC locations or to local vendors/customers when the mail carrier is unavailable; operate company-owned vehicle safely and responsibly, in compliance with all traffic laws, company vehicle policies, standard operating procedures, and safety regulations.
  • Other responsibilities as assigned by senior management.

Education and Experience:

  • High School or GED diploma required.
  • Minimum of one year of clerical experience or one year of warehouse experience required or any combination of such.
  • Valid New York driver's license with a clean driving record required.
  • Must have an active driver’s license for at least 5 years.

Skills, Knowledge, and Abilities:

  • Ability to multitask and prioritize in a fast-paced manufacturing warehouse environment.
  • Extremely organized, efficient with excellent work ethic.
  • Some knowledge of cGMPs related to US FDA manufacturing environments.
  • Basic computer skills.

Physical Demands:

  • Required to use hands to handle or feel objects, tools, computer controls, equipment.
  • While performing the duties of this job, the employee is regularly required to stoop, kneel, crouch, climb, stand, bend, sit, hear, or walk for prolonged periods. The employee may lift, move and or carry up to 50 lbs.
  • Specific vision abilities required include close vision, distance vision, peripheral vision, color vision and the ability to adjust focus.

Work Environment:

  • Required to be present in the office to provide immediate departmental support daily.
  • Employee travel/work hours/schedule/location and/or shift are subject to change based on business needs and management discretion.
  • Regular, ongoing travel throughout geographic areas on a continual basis as normal scope of role.
  • Work environment in production operations facilities include close proximity to heavy machinery and pharmaceutical powders (dust), with loud noises.
  • Potential to move between production operations sites/areas to complete job functions; regular, ongoing travel throughout geographic areas on a continual basis as a normal part of the role, requiring the use of a personal vehicle.
