**Compensation range for this position is $12,778–$15,500 USD. Actual compensation will depend on experience, qualifications, and other relevant factors** This is a full-time, on-site, fixed term position that is open to Togolese nationals only.

Through hospital ships, long-term partnerships, training, health systems strengthening and other programmatic activities, Mercy Ships works alongside governments and healthcare partners to support sustainable impact.

Mercy Ships is seeking an experienced Administrative Assistant to support the Country Director (CD), Operations Director (OD), and other CET personnel with a variety of administrative and logistical tasks throughout all phases of the Country Engagement Cycle for a specific country.

How You Will Contribute:

The Administrative Assistant will:

  • Maintain an organized, professional, and well-functioning office environment.
  • Coordinate with the Operations Director (OD) on office and team lodging needs, including cleaning, catering, repairs, maintenance, and security services.
  • Purchase and maintain appropriate food, office supplies, and team lodging supplies, as directed.
  • Coordinate meetings, appointments, and other scheduling needs.
  • Support travel and accommodation arrangements for Country Engagement Team (CET) members traveling internationally, as well as visiting staff and guests, as requested.
  • Identify and coordinate with reliable travel providers for domestic travel arrangements for in-country teams and ship personnel.
  • Assist with preparing professional written communications, including official letters, correspondence, and emails.
  • Provide translation and interpretation support, as needed.
  • Coordinate the timely and secure delivery of packages, documents, and correspondence.
  • Manage petty cash and maintain appropriate records prior to the appointment of an accountant, when assigned by the OD.
  • Coordinate with the Information Technology (IT) team to address office technology needs and resolve related issues.
  • Maintain accurate partner contact information by regularly collecting updates from CET members and entering information into Salesforce.
  • Coordinate occasional off-site team activities, as directed.
  • Provide administrative and logistical support for meetings, trainings, special events, and other activities as directed by the Country Director (CD) and Operations Director (OD).

Advance & Country Preparation Support as follows;

  • Develop and maintain a country information resource for vessel crew, including relevant local information, contacts, services, and logistical guidance.
  • Prepare and maintain information materials for vision trips and other visiting teams.
  • Identify potential local partners for Mercy Ministries, including schools, churches, community organizations, orphanages, and other relevant institutions.
  • Support Hospital Chaplaincy with the coordination and logistics of Simply the Story (STS) training, when requested.
  • Perform other related duties as assigned.

Education and/or Experience;

  • One year of experience with Mercy Ships as Crew, Day Crew, or working with the ASC desirable
  • Two years of experience as an Administrative Assistant highly preferred, ideally working in a non-governmental organization (NGO) with exposure to diplomacy
  • A bachelor’s degree or certificate in administration desirable
  • Ability to translate and interpret from English to working language of the government and vice versa
  • Proficient with Microsoft Word, Excel, Power Point and Outlook; willingness to learn Salesforce
  • Or equivalent combination of experience and education.
