Job Description

POSITION: Administrative Assistant to the Principal

LOCATION: Pioneer Middle School

HOURS:

40 hours per week

Monday � Friday

240 days per year

JOB SUMMARY:

The Administrative Assistant to the Principal manages and carries out all functions of the school office in relation to school staff, student body, parents, general community, and district needs as directed by the principal. He/she must have the ability to maintain tact and diplomacy under stressful situations. He/she must possess the necessary secretarial and public relations skills required for the position.

MINIMUM QUALIFICATIONS:

  1. High school graduate or equivalent.
  2. Experienced in office procedures, including the operation of copy machine, fax machine, and public announcement system.
  3. Working knowledge of Microsoft Office, Gmail, Google Drive/Docs, and MiStar.
  4. Interpersonal and judgmental skills necessary to work effectively with students, staff, and the public.
  5. Ability to analyze work and projects to achieve maximum efficiency, anticipate problems, and provide solutions.
  6. Possess excellent organizational skills
  7. Ability to set, manage, and coordinate multiple priorities.
  8. Excellent written and oral communication skills.
  9. Ability to take initiative and work independently without direct supervision.
  10. Ability to maintain tact and diplomacy under stressful situations.
  11. Ability to maintain confidential information.
  12. Demonstrated commitment to continuous improvement.

DUTIES AND RESPONSIBILITIES:

  1. Assumes responsibility for the general office.
  2. Provides a full expanse of customary secretarial support to the principal.
  3. Receives, assists, and processes telephone inquiries.
  4. Assists in developing and preparing building newsletters, forms, etc. needed for communication.
  5. Maintains attendance information and prepare time sheets for all applicable building staff.
  6. Performs basic accounting duties.
  7. Maintains and submits monthly petty cash report as requested.
  8. Assumes responsibility for accounting and banking.
  9. Monitors building budgets for fiscal responsibility.
  10. Monitors and orders various supplies, equipment as needed for the building and staff.
  11. Registering new students and processing student records
  12. Uses SMART XL to type all requisitions, check requests, and initiate purchase orders necessary for the efficient operation of the school.
  13. Prepares confidential personnel evaluations.
  14. Performs basic computerized (Excel) accounting duties.
  15. Answers questions from students, teachers, and parents regarding school policies and procedures.
  16. Assists in emergencies as defined by building plan.
  17. Assists students as needed.
  18. Bending, lifting, and overhead work required.
  19. Performs other tasks as directed by immediate supervisor.

PHYSICAL DEMANDS:

Specific vision abilities required by this job include close vision such as to read handwritten or typed material, and the ability to adjust focus.

TERMS OF EMPLOYMENT:

Upon recommendation for employment, Section 1230g, as amended, of the Revised School Code requires all school employees to be electronically finger printed for the purpose of undergoing a criminal history background check. The fingerprinting is conducted by a third party and is at the expense of the applicant. Cost for fingerprinting is approximately $70.00.

Plymouth-Canton Community Schools operates 15 elementary schools, five middle schools, three high schools & an alternative high school program. District maps show geographic attendance areas for elementary & middle school. Students are randomly assigned to our three high schools.

To additionally support our community, the district provides extensive preschool programming as well as before & after-school child care & summer care programs for elementary & middle school students. Over 3,000 full-time & part-time employees work to provide our students with the educational opportunities they need to become productive citizens in a global community.

Parent involvement is a key factor in the success of our students & our schools. District policy 2112 summarizes the importance of two-way communication between home & school & describes the responsibilities of the school & the parents in this process. The district plan titled “Parent Involvement in the School Program” will be printed each year in August.

Each school welcomes parents to Open House in the fall, parent-teacher conferences, evening programs related to curriculum & school activities. Parents also participate on many school committees, volunteer in classrooms, organize fundraisers & help us to provide their students with an outstanding education.

All P-CCS teachers are teaching in areas in which they are certified by the State of Michigan. The federal No Child Left Behind (NCLB) law requires an even higher level of certification. At the secondary level, these new standards require teachers to possess at least a bachelor’s degree & full state certification & teach only in areas in which they have a major or equivalent graduate degree or a minor & have passed the state exam in that subject.

All P-CCS elementary teachers meet the federal requirements for highly qualified teachers. Parents have a right to know the qualifications of the teachers of their children & may contact their school to get this information.
