Position Summary:
The Administrative Assistant to the Head of School provides high-level administrative, organizational, and logistical support to the Head of School. This role serves as a trusted partner in ensuring the effective day-to-day operations of the Head of School’s office while supporting the mission, vision, and values of Prestonwood Christian Academy (PCA).
The ideal candidate is highly organized, discreet, proactive, and relational—capable of managing complex schedules, sensitive information, and multiple priorities with professionalism, excellence, and a servant’s heart.
Duties and Responsibilities:
Executive & Administrative Support
- Serve as the primary administrative support for the Head of School, managing calendars, scheduling meetings, and coordinating appointments across multiple stakeholders
- Prepare correspondence, reports, presentations, and meeting materials with a high degree of accuracy and professionalism
- Anticipate needs and proactively manage deadlines, follow-ups, and action items on behalf of the Head of School
- Maintain organized digital and physical filing systems for records, communications, and confidential documents
Communication & Coordination
- Act as a professional and welcoming first point of contact for the Head of School’s office, including parents, staff, board members, donors, and external partners
- Facilitate communication between the Head of School and internal leadership, faculty, staff, and school committees
- Draft and proofread internal and external communications, ensuring alignment with PCA’s tone, values, and brand standards
Meeting & Event Support
- Coordinate logistics for meetings, leadership gatherings, board meetings, and special events as assigned
- Prepare agendas, take meeting notes when needed, and track follow-up items to ensure timely execution
- Assist with planning and coordination of campus-wide or leadership-level initiatives at the direction of the Head of School
Confidentiality & Professional Judgment
- Handle sensitive and confidential information with the utmost discretion and integrity
- Exercise sound judgment and professionalism in all interactions, particularly in matters involving personnel, families, or strategic initiatives
Mission & Culture Support
- Support and promote the mission, vision, and biblical worldview of Prestonwood Christian Academy
- Model PCA’s core values through collaboration, humility, excellence, and service
Qualifications
Qualifications/Skills:
- Bachelor’s degree or higher preferred
- 3–5 years of administrative support experience, preferably supporting senior leadership
- Exceptional organizational, time-management, and attention-to-detail skills
- Strong written and verbal communication abilities
- High level of discretion, professionalism, and emotional intelligence
- Proficiency in Microsoft Office and Google Workspace platforms
- Experience in an educational or faith-based organization
- Familiarity with scheduling platforms, document management systems, and internal communication tools
- Ability to manage competing priorities in a fast-paced environment
- Spiritually mature Christian with a clear commitment to Christ and alignment with PCA’s Statement of Faith, Doctrinal Beliefs, and the Baptist Faith and Message
- Servant-hearted, flexible, and team-oriented
- Calm, poised, and solutions-focused under pressure
- Approachable and relational while maintaining appropriate professional boundaries
- Prestonwood Baptist Church member required
Physical, Mental Requirements and Work Environment:
- Regularly sitting at the computer requiring repetitive finger motion and manual dexterity
- Up to several hours of walking and standing during events
- Subject to working more than required hours during certain event
- Ability to manage multiple coinciding projects
- Close visual acuity required for viewing a computer monitor, preparing and analyzing data and figures, transcribing and reading
- Hearing – ability to perceive sounds at normal speaking levels with or without correction
- Talking – expressing ideas by means of the spoken word to convey instructions to students, parents and other workers
- Ability to communicate effectively, even in stressful situations
- Professional appearance and dress required, as this person is often the “host” of PCA-wide meetings and events
- Primarily inside, office environment with the exception of hosting or attending a few outside events throughout the year
- Occasional lifting of 5 to 25 pounds
